Business Operations Manager Competitive Salary + Annual Bonus About the Role The Business Operations Manager is the operational backbone of Silentium Defense’s U.S. headquarters in Holly Springs, North Carolina. This role ensures the smooth, reliable day-to-day running of our U.S. operations — from office management and logistics through to CRM accuracy, order processing, HR coordination, and customer support. You’ll work closely with U.S. leadership, customer-facing teams, and our Australian headquarters to keep operations tight, responsive, and ready to scale. This is a hands-on role for someone who thrives on ownership, structure, and follow-through — and who takes pride in keeping the engine room running properly. What You’ll Be Doing Operations Management (70%) • Manage daily operations of the Holly Springs office, ensuring a professional, efficient, and well-organised working environment. • Maintain and update the company CRM to ensure accurate records of accounts, contacts, opportunities, and activity. • Coordinate logistics, shipping, receiving, and inventory, including preparation and dispatch of demonstration systems and hardware. • Support end-to-end order management, including purchase order processing, tracking, invoicing coordination, and supplier/customer communication. • Oversee local HR-related administration, including onboarding support, personnel documentation, training scheduling, and liaison with corporate HR. • Manage office supplies, vendors, facilities needs, and general administrative workflows. • Implement and continuously improve operational processes that increase efficiency and reduce friction. Customer & Business Support (30%) • Act as a responsive point of contact for customer inquiries, scheduling, service requests, and basic support coordination. • Support Business Development and Technical Account Managers by maintaining opportunity data, preparing materials, and assisting with proposal-related tasks. • Coordinate customer visits, executive briefings, demonstrations, and events at the U.S. office or field locations. • Track customer feedback and ensure follow-up actions are assigned, monitored, and closed out. • Support alignment between U.S. and Australian operations through accurate documentation and clear communication. What We’re Looking For Required • Bachelor’s degree in Business Administration, Operations Management, Communications, or a related field (or equivalent experience). • 5+ years’ experience in business operations, office management, logistics coordination, or a similar operational role. • Demonstrated experience working with CRM systems (e.g. HubSpot, Salesforce, Pipedrive). • Strong organisational skills with the ability to manage multiple priorities in a fast-paced environment. • Clear, professional written and verbal communication skills. • Self-starter mindset with the ability to operate independently while collaborating across distributed teams. • Proficiency with Microsoft Office 365 and general business systems. • High integrity, strong work ethic, and consistent attention to detail. Preferred • Experience supporting defense, aerospace, manufacturing, or technology organizations. • Familiarity with logistics, shipping regulations, or inventory management. • Experience supporting customer support workflows or service coordination. • Willingness to travel approximately 5–15% for events, demonstrations, or customer engagements.
