Full Description

Role Summary The SUA Billing and Invoicing Assistant owns the end-to-end invoicing process for designated SUA customer and third-party accounts. You will create, review, and issue invoices; validate pricing and freight; reconcile accounts; and partner cross-functionally to resolve discrepancies quickly and accurately. Success in this role means balancing speed and precision while upholding Sigma policies and U.S. invoicing requirements. What You'll Do (Key Responsibilities) •Manage the invoice lifecycle for SUA customers and third parties-create, review, and issue invoices on time; manage credit/debit memos; and ensure proper documentation in SAP (e.g., VF01). •Control warehousing and U.S. freight expenses with the SUA Operations Analyst; investigate variances and provide monthly reconciliations and summaries. •Maintain and adjust Purchase Orders in coordination with Supply (e.g., ME22N); ensure contract and pricing accuracy prior to billing. •Post Goods Receipts and monitor Goods Issue/Delivery with Operations and Logistics to resolve exceptions quickly (e.g., MIGO, VL04). •Prepare export invoices reflecting material cost, U.S. warehousing, U.S. freight, and margin; ensure compliance with export documentation requirements. •Apply payments, reconcile accounts, and maintain accurate A/R aging; escalate past-due items and support collections activity as needed. •Run and maintain A/R and invoicing reports; track KPIs (timeliness, accuracy, DSO) and identify process improvements. •Review contracts, POs, and pricing agreements to validate charges and address discrepancies with internal partners and customers. •Ensure compliance with Sigma policies and basic U.S. invoicing regulations; support internal and external audits. Minimum Qualifications •High school diploma required; Associate's or Bachelor's degree in Accounting, Finance, or Business preferred (or equivalent experience). •1-3 years' experience in invoicing, accounts receivable, accounting operations, or data entry in a fast-paced environment. •Experience with ERP systems (SAP preferred: SD/MM transactions such as ME22N, MIGO, VL04, VF01). •Excel skills at a basic-to-intermediate level (tables, filters, lookups, and simple formulas). •Strong attention to detail, organization, and time management; proven ability to meet deadlines and handle sensitive financial data with discretion. •Effective communication and customer service skills to collaborate with internal teams and respond to partner inquiries. Preferred Qualifications •Bilingual English/Spanish (role interfaces frequently with cross-border teams and customers). •Experience with U.S. invoicing and export documentation requirements. •Working knowledge of SAP SD billing and MM purchasing; familiarity with pricing conditions and delivery processes. •Experience reconciling complex accounts and creating management reports/dashboards.
