The Financial Assistant helps with overseeing the firm’s financial operations and various HR projects, including reporting to and working closely with the Office Manager to provide support on many projects. Our firm is seeking an organized and detail-oriented Financial Assistant to support a variety of accounting, administrative, and human resources functions critical to the success of our business operations. The ideal candidate will bring both technical accounting expertise and organizational capability while ensuring compliance with industry standards and maintaining utmost professionalism. Key Responsibilities: Accounting Functions: • * Accounts Receivable: Manage invoicing, monitor collections, and follow up with clients to ensure timely payments. Reconcile accounts to maintain accuracy. • Accounts Payable: Process vendor payments, verify invoices, and ensure appropriate approvals for expenditures. • Bank Reconciliations: Conduct periodic reconciliations of bank accounts to ensure alignment with the general ledger. • Recordkeeping: Maintain detailed and accurate financial documentation for reference and audits. • General Ledger Accounts: Manage and analyze accounts, ensuring accuracy, completeness, and readiness for reporting. • Firm Billing and Trust Accounting: Oversee client billing processes and trust fund account management following industry best practices and ethical requirements. • Preparation of Financial Reports: Compile and present timely and accurate financial reports to assist in organizational decision-making. Human Resources Support: • * Assist in HR projects such as employee onboarding, payroll coordination, compliance tracking, and maintaining benefits documentation. Qualifications and Standout Candidate Traits: • Work Experience: • * Minimum of 3 to 5 years of experience in accounting or bookkeeping roles handling accounts payable/receivable, financial reconciliations, general ledger maintenance, and payroll processing. • Law firm or accounting firm experience in a similar capacity is highly preferred. • Technical Skills: • * Proficiency in computerized accounting systems; familiarity with Tabs3 software is a strong advantage. • Ability to analyze and communicate complex financial data effectively. • Professional Attributes: • * Exceptional attention to detail and organizational skills, ensuring accuracy and meeting tight deadlines. • Integrity and professionalism, with an ability to maintain strict confidentiality on sensitive client matters. • Strong communication skills to liaise effectively with internal teams and external stakeholders in a professional manner. • Ability to adapt and represent the organization positively and consistently.
