Responsibilities • Assist in managing daily office operations, including front desk duties and multi-line phone systems to ensure seamless communication. • Oversee scheduling management for staff appointments, meetings, and events, optimizing time and resource allocation. • Coordinate vendor management activities, including negotiating contracts, tracking service delivery, and maintaining positive relationships. • Support human resources functions such as onboarding new employees, maintaining personnel records, and assisting with training & development initiatives. • Handle bookkeeping and bookkeeping-related tasks using QuickBooks or similar software to ensure accurate financial records. • Manage office supplies inventory, filing systems, and general clerical tasks to maintain an organized workspace. • Assist with budgeting processes and expense tracking to support financial planning efforts. • Contribute to medical or specialized office management tasks as needed, ensuring compliance with relevant policies. Requirements • Proven experience in office management or administrative roles with strong organizational skills. • Supervising experience demonstrating leadership capabilities and team management skills. • Proficiency in QuickBooks for bookkeeping and payroll processing. • Excellent communication skills with professional phone etiquette and interpersonal abilities. • Experience in event planning and coordinating meetings or company functions. • Strong calendar management skills to handle multiple schedules efficiently. • Knowledge of vendor management practices and contract negotiations. • Familiarity with human resources procedures including onboarding, training & development, and employee relations. • Ability to handle clerical tasks such as filing, data entry, and front desk operations confidently. • Experience working in medical office environments or similar settings is a plus.
