About the Role: The role of the Patient Operations Specialist, Apheresis is to serve as a primary point of contact for both our donors participating in apheresis collections and our partner site contacts. The AOS I is responsible for screening and qualifying donors who are part of an extensive Sanguine database, and those who are identified by the Patient Recruitment and Marketing Team. The AOS I will screen potential donors to obtain the necessary health information, conduct medical record reviews to qualify donors for apheresis research studies, and provide a seamless experience for our donors. The Apheresis Operations Specialist is also responsible for collecting all necessary documents, coordinating with apheresis sites to schedule donors and pick up services, maintaining patient data and documenting results, fielding real-time calls and emails, and striving to provide a seamless experience for our donors. This individual will be a part of our Apheresis Operations team and will work cross-functionally with multiple departments including Project Management, Patient Operations, and apheresis site points-of-contact. This is a hybrid role where a portion of the work week will be spent at the Los Angeles apheresis site (located in the mid-Wilshire neighborhood). Along with the duties listed above, when on-site the role can require additional duties such as assisting with drawing donor samples, checking in scheduled donors, assisting with inventory management, and assisting nurses with blood donation activities. This role will report to the Apheresis Operations manager and will be a part of a service-centric and analytics-driven team that believes in empathy, compassion, and centering our focus on the needs of our donors. Primary Responsibilities: Participant Engagement & Enrollment Serve as the primary point of contact for potential participants in apheresis research studies, managing inquiries from newly identified participants referred by the Patient Recruitment team. Coordinate and oversee participant enrollment. Maintain an in-depth understanding of study protocols, safety guidelines, and Standard Operating Procedures (SOPs), ensuring strict adherence across all participant interactions. Conduct independent research on assigned studies and medical conditions to enhance comprehension of study-specific criteria. Utilize internal databases to identify potential study participants, analyzing medical record data and administering eligibility surveys. Conduct thorough eligibility screenings, introduce study objectives to participants, and collect and document critical medical and study-related information with accuracy and efficiency. Oversee the administration and collection of required study documents, collaborating with the Medical Records team to initiate and manage medical record retrieval. Review and analyze medical records, input lab results, and compile research data to validate participant eligibility and ensure study integrity. Partner with the Medical Director to relay key safety considerations to participants with specific conditions. Collaborate with Project Management and Recruitment teams to track enrollment progress, monitor and assess recruitment performance, and proactively address potential delays or challenges. Oversee participant allocation across multiple apheresis studies, ensuring alignment with eligibility criteria and study priorities. Scheduling & Logistics Coordination Ensure accurate completion and organization of required documentation for apheresis appointments, including but not limited to apheresis order forms, shipping labels, and informed consent forms. Manage shipments of apheresis visit products between partner sites and sample destinations. This includes arranging pick up times, delivery destinations, and adhering to Sanguine’s Standard Operating Procedures (SOPs) for scheduling shipments. Initiate outbound phone calls; schedule appointments, confirm visit times, or reschedule visits as needed and notify both the apheresis site contacts and the appropriate internal team members as necessary. Schedule donors based on numerous factors such as site staff availability, client availability, logistics constraints, and sample management constraints while providing donors with proper pre-appointment instructions and information Input and maintain all scheduling information in various platforms to ensure all scheduling information is always up to date Create and utilize various Salesforce reports to maintain efficiency and organization of patient scheduling Ensure that post visit results are documented in various appropriate platforms. This includes but is not limited to screening results, collection results, patient recollection status, and specific lab values such as HLA typing results. Ensure that Certificates of Analysis are completed post-collection accurately and in a timely manner when required for study. Review the weekly and daily schedules and communicate with the apheresis site staff to ensure all parties are prepared for collections. On-Site Check in donors upon arrival and ensure they are seated in the proper waiting area. Conduct medical history questionnaires and qualify potential donors to ensure they meet the specific study requirements. Take height, weight, temperature and other vitals of qualified donors. Maintain inventory of supplies and place orders as necessary. Ensure all critical materials and consumables for each collection are stocked before each appointment. Take on additional responsibilities as assigned. Position Requirements: Required 1-2 years of working experience in a relevant role or field. Proficient in general software tools, including Microsoft Office and Google Workspace, with the ability to quickly learn and troubleshoot new systems. Effective multitasker who thrives in a fast-paced, dynamic environment. Highly organized, detail-oriented, and meticulous in managing tasks. Exceptional customer service, verbal, and written communication skills. Personable, engaging, and adept at critical thinking. Must be able to work a rotating schedule (alternating between Sunday-Thursday and Monday - Friday shifts) Must be able to work on-site 2-3 days per week Preferred Bachelor's Degree in a life science or other related field. Certified Phlebotomy Technician certificate. Bilingual (Spanish). Experience working with a blood donation center. Experience working in apheresis collections. Experience working with patients in a HIPAA regulated environment. Experience with software tools like Five9, DocuSign, Adobe Sign, Salesforce, Slack.
