Job Summary: The Commissioning Coordinator provides essential administrative and operational support to the Commissioning Team, ensuring smooth project execution and compliance with company standards. This role manages documentation, tracks project performance, coordinates equipment and lodging logistics, and assists with consultant onboarding and contract administration. The Coordinator also maintains accurate records, facilitates communication among stakeholders, and supports scheduling and reporting to keep projects on track. Success in this position requires strong organizational skills, attention to detail, and the ability to thrive in a fast-paced, multi-disciplinary environment. Responsibilities: As the Coordinator you will report directly to the Project Operations and Controls Manager and be responsible for providing general administrative support to Commissioning Team Members and office staff. Your duties will include: • Document Management: Proofread, format, and maintain project documentation and files (electronic and hardcopy) to ensure consistency with company and client standards. • Project Coordination: Monitor staffing and financial performance in the project management system; assist with scheduling meetings and distributing project information. • Procurement & Logistics: Coordinate equipment orders, track inventory, and manage long-term lodging arrangements for project staff. • Consultant Support: Handle onboarding, maintain contracts, and ensure compliance with company policies for renewals and amendments. • Database & Records: Administer commissioning documentation and manage project databases according to established procedures. • Communication & Reporting: Serve as a liaison for information transfer among internal teams, clients, and consultants; draft correspondence and prepare electronic transmittals. • Compliance & Registrations: Assist in maintaining PE and corporate registrations and update company-wide forms on the intranet. • IT & Office Support: Coordinate workspace setup for new hires and provide backup administrative support during absences. • Issue Escalation: Alert project leaders to concerns that could impact outcomes, client satisfaction, or team well-being. • Ad Hoc Support: Respond to evolving project needs and special requests from managers and team leaders. Qualifications and Experience: • You have at least a high school diploma and a minimum of 3 years’ experience in the Architecture/Engineer industry. • Demonstrated knowledge and skills of MS-Office (Word, Excel, Outlook, PowerPoint, MS Project) and Deltek Vison are strongly preferred. • Experience in specifications is a plus. • Time Management: Managing one’s own time and the time of others • Excellent organization and communication skills are essential • Read and clearly speak English, follow written and verbal instructions, write legibly for logs and documentation • Work both independently and as a team member and maintain a clean and organized workplace • Excellent oral and written communication skills. • Creative thinker with effective teamwork skills. • Ability to work in a fast-paced multi-discipline team environment. • Ability to prioritize tasks effectively in the face of shifting projects and deadlines. • A confident and positive attitude with colleagues and clients. • Good communication skills, combined with organizational skills, the ability to plan, balance and prioritize work. • Other duties as assigned. Compensation & Benefits: The expected base salary range for this role is $XX,000 - $XX,000 USD per year. Actual compensation will be determined based on a number of factors including skills, experience, qualifications, and location.
