Assistant Administrative Manager – Financial Focus Position Title: Assistant Office Manager – Financial Focus Department: Administration Reports To: Office Manager FLSA Status: Non-Exempt [Hourly] Employment Type: Full-Time Position Summary / Mission This role plays a critical part in maintaining financial accuracy, administrative efficiency, and overall operational flow across Roofscapes NW. The Assistant Administrative Manager serves as an essential support bridge between the office, field operations, dispatch scheduling, and HR overflow needs. This position is responsible not only for internal financial operations (job costing, payroll support, AR/AP accuracy), but also for proactively auditing and correcting administrative breakdowns company-wide. The role requires constant awareness of what is owed, what is due, what is incomplete, and what needs attention to ensure smooth business operations and strong financial control. Core Responsibilities: 1. Active Financial Management & Accountability · Maintain accurate and current job costing for every roofing project. · Accurately allocate materials, labor, vendor, and subcontractor costs to the proper jobs. · Ensure real-time visibility into what is owed, billed, due, missing, or delayed across the company’s financial systems. · Support Accounts Payable and Accounts Receivable workflows to ensure no outstanding balances are overlooked. · Ensure payroll, AR, and AP processes are accurate, timely, and fully documented. · Reconcile accounts monthly with clear supporting documentation for leadership review. 2. Administrative & Office Operations Support · Provide daily administrative support to ensure office workflow remains organized, responsive, and efficient. · Manage overflow administrative duties across departments as needed, ensuring nothing falls through the cracks. · Maintain clean systems for documentation, communication, and internal coordination. 3. Dispatch & Field Operations Support · Support dispatch scheduling and coordination between crews, production, and office leadership. · Assist with assigning work orders, tracking project progression, and ensuring field needs are communicated clearly. · Help maintain smooth day-to-day operational execution by acting as a reliable point of contact for logistical overflow. 4. HR Overflow & Employee Support · Provide HR overflow support including onboarding coordination, employee file maintenance, payroll documentation, and internal compliance needs. · Assist leadership with employee process tracking, communication follow-up, and operational staffing support. · Ensure sensitive employee information is handled with confidentiality and integrity. 5. Company-Wide Auditing & Continuous Fixing · Constantly audit office systems, workflows, financial records, and operational processes to identify gaps or breakdowns. · Proactively resolve issues before they become costly problems, including missing documentation, delayed billing, vendor errors, or process inefficiencies. · Act as an operational “fixer” who strengthens company-wide organization, accountability, and communication. · Communicate immediately with management regarding unusual activity, financial discrepancies, delays, or workflow concerns. 6. Expanded Key Expectations (Reinforced) · Maintain accurate job costing for every roofing project. · Ensure materials, labor, subcontractors, and invoices are coded correctly and tracked actively. · Maintain constant awareness of what is owed, due, outstanding, or unresolved. · Audit systems regularly and fix operational breakdowns company-wide. · Respond to management within one business day. · Proactively communicate financial issues, delays, or unusual activity. · Support dispatch flow and HR overflow needs while maintaining high accountability. Summary This is not a passive administrative role. This position requires proactive ownership, operational awareness, and financial understanding to keep Roofscapes NW running smoothly, efficiently, and profitably at all times.
