Hours: 40 hours/week Role Type: Remote Travel: 2-3 trips a year for 5-7 days at a time Job Summary: The Event Coordinator, Internal Events, will be instrumental in crafting memorable experiences for our employees within our Strategic Internal Events portfolio. This role is all about bringing our culture to life through engaging events that celebrate achievements, foster learning, and strengthen our Workday community. We're looking for a highly organized, creative, and detail-oriented individual with exceptional communication and interpersonal skills to make every event a success. Responsibilities: Team administrative support ● Manage vendor contract submission, tracking and organization in collaboration with the procurement team. ● Manage bi-weekly team meeting submission and notes. ● Manage budgetary items related to team and or contracts. Event Planning & Execution: ● Champion a positive and inclusive company culture by designing and executing events that truly resonate with our diverse employee interests. ● Coordinate certain aspects of internal events, including but not limited to: sales kickoffs, user conferences, ancillary meetings, company-wide meetings, training sessions, workshops, and more. ● Build and maintain strong relationships with internal stakeholders (e.g., sales, HR, leadership, cross functional teams) to understand their event needs and objectives. ● Manage relationships with external vendors, ensuring high-quality service and adherence to agreements. ● Collaborate on event registration, attendance tracking, and post-event surveys. ● Oversee on-site event management, ensuring smooth execution and problem-solving as needed. ● Create compelling event communications, including invitations, mobile app content, and post-event summaries. ● Collaborate with internal communications and marketing teams to promote events effectively across various internal channels. ● Gather feedback and conduct post-event evaluations to assess success, identify areas for improvement, and inform future event planning. ● Identify opportunities and initiatives to enhance employee experience. Qualifications: ● Bachelor's degree in Marketing, Communications, Hospitality, or a related field (or equivalent practical experience). ● 2+ years of dynamic experience in event planning and coordination, preferably within a corporate events setting. ● Proven ability to manage multiple projects simultaneously with excellent organizational skills and attention to detail. ● Strong budget management skills. ● Exceptional written and verbal communication skills. ● Proficiency in event management software (e.g., Rainfocus, Cvent), Google Workspace (Docs, Sheets, Slides) and Microsoft Office Suite (Word, Excel, PowerPoint). ● Proficiency in project management software (e.g. Asana, Smartsheet) ● Creative thinking and adept problem-solving abilities. ● Ability to work independently and as part of a team in a fast-paced environment. ● Flexibility to work occasional evenings or weekends as required for events.
