Overview Seeking an experienced Resource & Project Management Coordinator to support resource planning, capacity management, and project execution. This part-time role requires strong organization, communication, and technical skills, with an emphasis on optimizing resource allocation and maintaining accurate project plans. Key Responsibilities Resource Management • Configure and maintain projects in PSA tools (e.g., BigTime) • Manage resource allocations, capacity forecasts, and utilization tracking • Identify bottlenecks, conflicts, and staffing gaps • Facilitate weekly capacity planning meetings • Provide data-driven insights and recommendations • Document and refine resource management processes Project Management • Build and maintain project plans in Microsoft Planner • Create standardized templates for consistent project setup • Track timelines, dependencies, and milestones • Attend project meetings and update plans in real time • Follow up on action items and overdue tasks • Maintain portfolio-wide visibility of active projects • Prepare status updates and dashboards Cross-Functional & Operational Support • Coordinate with finance, sales/business development, and department leads around capacity, budgets, and project transitions • Maintain documentation repositories and track KPIs • Conduct post-project reviews to support continuous improvement • Provide tool administration, training, and troubleshooting support • Identify workflow improvements and integration opportunities across systems Required Qualifications Experience • 5+ years in resource management and project management • Experience managing multiple concurrent projects • Strong facilitation and cross-functional communication skills Technical Skills • Experience with PSA tools (BigTime preferred) • Proficiency with Microsoft Planner and Microsoft 365 • Advanced Excel for analytics and capacity modeling • Strong technical aptitude Core Competencies • Highly organized with strong attention to detail • Analytical, proactive, and solution-oriented • Clear communicator with strong follow-through • Able to work independently and manage competing priorities
