We are looking for an organized and detail-oriented Administrative Assistant to join our team in Yorba Linda, California. This role offers an exciting opportunity to support the Install team (project coordinators) in a fast-paced environment. As a Contract-to-permanent position, this role is ideal for someone who enjoys collaborating with teams, communicating with customers, and managing administrative tasks efficiently.Responsibilities:• Provide administrative support to the Install team, including project coordinators, to ensure smooth operations.• Generate and maintain detailed reports using Microsoft Excel to track team performance and project updates.• Communicate with customers regarding purchase orders, addressing inquiries and providing timely updates on invoices and project progress.• Manage and update project records, ensuring all documentation is accurate and accessible.• Deliver exceptional customer service by resolving issues and maintaining strong client relationships.• Assist in processing invoices and purchase orders with accuracy and attention to detail.• Collaborate with team members to ensure deadlines are met and workflows are streamlined.• Utilize technical proficiency to navigate software tools and systems efficiently.• Contribute to the team’s success by identifying opportunities for improvement in administrative processes.• Apply knowledge of construction-related documentation and practices to enhance project coordination.
