POSITION SUMMARY: The Customer Service Support Representative oversees essential office functions in a fast-paced environment. This role coordinates customer orders, manages pick-up and delivery arrangements and supports the sales billing process with accuracy and timeliness, including assisting the sales team. The representative is the first point of contact at the front counter, collaborating with regional account managers and estimators to follow up on bids and assist with account receivables. Additional duties include developing product knowledge, light clean-up of the front office, managing office supplies and answering phones. Success in this role requires proficiency in MS outlook, Excel, Word and office equipment, strong phone etiquette and organization skills with meticulous attention to detail. ESSENTIAL FUNCTIONS: • Develop product knowledge through vendor-led training and hands-on field experience with branch personnel. • Provide support to the Sales team and serve as the first point-of-contact at the front desk/front counter for customers. • Inform customers of order receipt and coordinate delivery or pickup arrangements. • Create accurate price sheets aligned with Sales or Branch Manager guidance while maintaining margin expectations. • Support the sales billing process by ensuring accuracy, timeliness, and proper reporting; assist with Accounts Receivable as needed. • Collaborate with Regional Account Managers (RAMs) and estimators to follow up on bids and proposals. • Provide support to the inside sales team as needed. • Verify inventory availability, ensuring compliance with vendor pricing agreements and standardized SKUs. • Prepare formal sales quotes with lead times for customers based on commitments from Sales, the Branch Manager, or direct inquiries. • Performing other duties as assigned to support operational needs and team goals. • Adhering to all company policies and procedures to ensure compliance and consistency. • Follow all safety regulations and adhere to company policies and procedures to ensure a safe and compliant work environment. • Support corporate initiatives and perform other duties as assigned to meet operational needs and team goals. • Leverage sales activity reports to engage with existing customers and identify new business opportunities across industries. • Communicate with internal stakeholders to resolve customer-related issues and assist in finding solutions. EDUCATION, EXPERIENCE AND SKILLS REQUIRED: • Associate degree preferred; high school diploma or GED accepted. • 3-5 years of administrative experience, preferably in sales, customer service, or sales support. • Strong verbal, written, and interpersonal communication skills. • Excellent customer service skills with a focus on building long-term relationships. • Exceptional attention to detail to ensure accurate invoicing and payments. • Ability to take direction from multiple stakeholders and manage priorities effectively. • Skilled in task prioritization and time management in a fast-paced construction office environment. • Strong organizational skills to manage workload and meet deadlines. • Proficient in MS Outlook, Excel, Word, office equipment and phone etiquette; knowledge of Vista and TCR software is a plus.
