Maintain project documentation, support service tracking, and assist with reporting and process improvements.
High school diploma, 2+ years of administrative experience, proficiency in Microsoft Office, and ERP system knowledge preferred.
Key Responsibilities • Documentation Management: Maintain organized and accessible project files, service requests, and field reports. • Service Tracking: Pull and review original service and field work reports to monitor progress against the initial scope of work or service request. • Data Entry & SAP Support: Enter, update, and track service information in SAP or other enterprise systems, ensuring accuracy and timely closure of service orders. • Invoice & Reporting Assistance: Verify that completed services align with original requests and invoice quantities prior to billing; assist with preparing project and financial reports. • Communication & Coordination: Act as a point of contact between field operations, project managers, and accounting to resolve discrepancies or information gaps. • Process Improvement: Identify and suggest opportunities to streamline administrative workflows and enhance efficiency in project tracking and reporting. • Compliance & Recordkeeping: Ensure documentation and service records comply with company standards, safety requirements, and audit guidelines. Qualifications • Education: High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred. • Experience: • Minimum of 2 years of administrative or office support experience, preferably within the utilities, energy, or construction industry. • Experience using SAP or other enterprise resource planning (ERP) systems is highly preferred. • Skills: • Proficient in Microsoft Office Suite (Excel, Word, Outlook). • Strong organizational skills with exceptional attention to detail. • Excellent verbal and written communication abilities. • Ability to manage multiple priorities in a fast-paced environment.
