Who we are and why this role exists RheumWell is a growing specialty medical practice in Miami with 9 providers and significant ancillary services: infusion, imaging, in-office pharmacy, and research. Operations are complex relative to our size, and the next phase is multi-location growth through both de-novo clinics and acquisitions of existing practices. We have strong clinical leadership, a Director of Practice Operations who leads day-to-day clinic operations and performance, and a VP, Growth & Partnerships who owns key external relationships. What we are missing is one person whose full-time job is building and running the system for: • Clear priorities • Real project execution • Better processes, SOPs, and KPIs • Effective use of tools (Slack, Zoho, BI dashboards) This role creates leverage for the CEO, operations leadership, and growth leadership by owning planning, project structure, and how technology and operations fit together, so the whole team stays focused on what matters most. The role This is a senior Strategy & Operations / BizOps / Chief of Staff–type role that reports directly to the CEO and partners closely with the Director of Practice Operations as your primary internal implementation partner, as well as with the VP, Growth & Partnerships, BI, and IT/MSP. This role is a good fit for someone who wants to be the execution partner to a CEO in a growing, multi-site service business. You do not run daily clinic staffing or schedules; your focus is the operating system (planning, projects, processes, tools) that supports the operations team. What you will own Strategy to execution • Run annual and quarterly planning with the CEO and senior leaders. • Turn high-level goals into a small set of clear, sequenced initiatives. • Maintain a single roadmap of what is active, what is next, and what is parked. Projects, cadence, and EOS-style structure • Lead cross-functional projects across operations, RCM, IT/EMR, growth, and expansion (including de-novo launches and practice integrations). • Define scope, owners, timelines, and success metrics for each initiative. • Design and run a simple execution framework (EOS / Traction–style or similar): 1) Quarterly rocks, and 2) Weekly or biweekly leadership meetings with agendas, scorecards, issues lists, and follow-up • Translate key external opportunities (for example payer, referrer, vendor, or acquisition-related asks) into scoped internal initiatives with clear owners, timelines, and success measures. • Keep a simple action log and follow up so commitments are completed, not forgotten. Process improvement, SOPs, KPIs • Each year, map and improve 3–5 high-impact processes. • Examples: new patient intake, infusion scheduling, AR workflows, EMR change management, clinic onboarding/integration. • Turn improved workflows into clear SOPs, checklists, and basic training materials. • Apply practical process-improvement methods (Lean / Six Sigma–style) without over-engineering. • Work closely with the Director of Practice Operations to translate process changes and SOPs into day-to-day practice in the clinics. • Define a KPI structure that links company priorities to department metrics and process metrics. Data, BI, and dashboards • Decide what leaders need to see weekly and monthly to run the business. • Translate business questions into clear requirements for the BI person. • Co-design simple dashboards and scorecards with BI and ensure everyone uses the same source of truth. • Embed metrics into regular meetings so data drives decisions, not side reports. Digital tools and collaboration • Design how we use Slack, email, and Zoho for communication and tasking. • Set standards for channels, usage, and basic response expectations in Slack. • Identify and prioritize a few high-value integrations. (examples: alerts from Zoho or EMR into Slack; forms that feed directly into task systems.) • Work with BI, IT/MSP, or vendors to implement those integrations, backed by clear processes and SOPs. Success in your first 12–18 months will look like • Company-level priorities are written, visible, and used to make tradeoffs. • A single cross-functional roadmap exists, and 80–90% of key milestones are hit or consciously re-planned. • 3–5 core processes (for example: intake, infusion scheduling, AR workflows, clinic onboarding) are measurably faster and more reliable. • Major external opportunities and commitments (from payers, referrers, vendors, or acquisitions) consistently show up as planned initiatives in the roadmap with clear owners and timelines, rather than as last-minute fires. • Leadership uses a small set of dashboards and scorecards as the default way to review performance. What we are looking for • 7+ years in Strategy & Operations, Business Operations (BizOps), Chief of Staff, consulting, or similar cross-functional role. • A track record of taking complex, cross-functional initiatives from idea to implemented results. • Fluent at both strategy and detail: you can run a planning session and then build the project plan and cadence that makes it real. • Able to work in a fast-moving, changing environment without normalizing chaos; you push for structure and clarity. • Willing and able to interview front-line staff, map real workflows, and redesign them to remove friction and rework. • Strong at influencing up, down, and across in environments where some leaders are more relationship-oriented than structured; skilled at driving clarity and follow-through without formal authority. • Strong with data conceptually and experienced partnering with a BI person, rather than trying to be the BI team yourself. • Proficient with tools like Slack (or similar), email suites, and project/task systems, and you like making them work together. • Effective working with both clinical and non-clinical leaders and incorporating physician input into process and KPI design. Nice to have (not required) • Experience in healthcare, medical practice operations, or another regulated services business. • Experience in a multi-site or multi-provider environment. • Experience with EOS/Traction, OKRs, or similar execution frameworks. You do not need prior healthcare experience if you have built and run planning, project, process, and KPI systems in another industry and can show how you improved how a business runs. Structure and growth • Reports directly to the CEO. • Hybrid role based in Miami: regular on-site time with flexibility for some remote work. • Partners with the Director of Practice Operations, VP, Growth & Partnerships, BI, IT/MSP, RCM, and other managers. • Starts as an individual contributor. • As you build a working system and the practice grows, there is room to add an analyst or project coordinator. • As the platform scales, there is potential for this role to grow in scope and title based on impact.
