Job Overview We are seeking a highly organized and proactive Senior Executive Admin Assistant to provide comprehensive administrative support to our executive team. This role requires a dynamic individual who can manage multiple priorities, coordinate projects, and ensure the smooth operation of the office. The ideal candidate will possess exceptional communication skills and a keen attention to detail, making them an invaluable asset to our organization. With exciting growth in progress and clinical studies underway, we are looking to add a Senior Executive Admin Assistant - Hybrid (Glastonbury, Hebron + WFH) This is a strategic, problem-solving role that goes beyond daily administrative tasks to help build the operational foundation of our company. You will work with the founder and the leadership team to create and streamline processes, especially in finance, payroll, and operations. Key Responsibilities • Financial Oversight: Work with the founder to manage cash flow, interpret financial spreadsheets, payroll, grant tracking, and assist with other accounting tasks. Experience with QuickBooks is preferred. • Complex Scheduling: Manage complex scheduling and calendar management for the founder and other executives, including customers and external partners in different time zones. • Operations & Problem-Solving: Identify inefficiencies in current processes and create new systems to improve everything from logistics to inventory management. You are the go-to person for solving operational issues before they become major problems. • Strategic Planning: Assist with light project management and help the team stay on track with key goals, particularly for research trips and other initiatives. • Communications: Help manage social media and internal communications. What You Bring • Proven experience as an executive administrator or in a similar operations role with a broader scope. • Strong accounting and financial skills, with the ability to interpret data and its implications for cash flow. Proficiency in excel, required. • A proactive, problem-solving mindset—you are energized by building and improving systems, not just maintaining them. • Excellent communication skills, both written and verbal. • Comfortable working in a fast-paced, unstructured startup environment where you take initiative and provide direction. • Bonus points for experience with grant-funded or research-intensive teams and a background with startups.
