Position Summary • Serve as the organizational anchor for daily operations • Manage priorities, communication, scheduling, and cross-office coordination • Support company initiatives and ensure operational consistency • Work in a fast-paced environment with proactive, clear communication • Based out of the Brooklyn headquarters with weekly travel across offices in Brooklyn and Staten Island Responsibilities Executive Support • Manage the CEO’s schedule, calendar, and daily workflow • Triage emails and communication • Delegate tasks and track follow-up • Maintain priorities and ensure deadlines are met • Anticipate operational needs and provide proactive support Operations & Office Support • Coordinate communication and operational needs across four office locations • Maintain consistency in daily procedures and expectations • Assist agents and staff with account setup, access, and basic tech needs • Coordinate logistics, travel, and internal commitments Meetings & Documentation • Prepare agendas and meeting materials • Take clear and detailed notes • Document action items and track them to completion • Assist with internal reporting and light operational analytics Content & Marketing Coordination • Capture photos and short videos for company initiatives • Assist with marketing updates, captions, and internal content • Coordinate with external editors or marketing partners Real Estate Support (Training Provided) • Learn to run CMAs and basic valuation reports • Assist with MLS tools, CRM systems, and transaction workflows Requirements Experience • 3+ years in an Executive Assistant or administrative support role • Experience supporting senior leadership strongly preferred • Real estate experience helpful but not required Skills • Highly organized with strong time-management skills • Clear written and verbal communication • Professional, discreet, and comfortable handling sensitive information • Tech-savvy and quick to learn new systems • Valid driver’s license and reliable transportation Preferred Qualifications • Familiarity with CMAs, MLS systems, or CRM platforms • Experience with social media or content creation • Experience with Google Workspace • Comfort with project management tools like Monday.com • Strong interpersonal and situational awareness Compensation & Benefits • $60,000–$70,000 base salary, depending on experience • Travel stipend • Paid time off • Growth opportunities in operations, marketing, and strategic support Work Environment • Full-time, on-site at Brooklyn office locations • Weekly travel across Brooklyn and Staten Island • Fast-paced, collaborative, and mission-driven workplace Pay: $60,000.00 - $70,000.00 per year Benefits: • Paid time off Application Question(s): • How many years have you worked as an Executive Assistant or in a similar role? • Which office software systems are you most comfortable with? • How many years of experience do you have in real estate, office administration, or customer service?
