3-5 years HR coordination or office management experience, bookkeeping skills, knowledge of payroll and benefits, proficiency with Google Workspace, Excel, HRIS or ATS, and QuickBooks or Buildertrend preferred.
Office Manager & HR Generalist Reports to: General Manager / CEO Direct Report: Office Coordinator The Office Manager & HR Generalist leads the rhythm of Red House’s administrative, recruiting, and human resource operations. This role ensures our office, studio, and systems run smoothly — and that Red House continues to attract and retain exceptional talent. As a key culture-carrier, you’ll support our leadership team in building a workplace grounded in care, clarity, and trust. You’ll manage the day-to-day functions of our administrative team, oversee recruiting and onboarding, and maintain the systems and communication rhythms that help our people — and our projects — thrive. ACCOUNTABILITIES: • Lead, Manage, and Hold Accountable (LMA) • Office Administration • Facilities Management • HR/Benefits Coordination • Coordinates with Managed IT Services • Bookkeeping ROLES & RESPONSIBILITIES: including, but not limited to, the following: • Leadership & Accountability (LMA) • Lead, manage, and hold accountable one direct report (Office Coordinator). • Maintain and update departmental SOPs and workflows to ensure consistency and clarity. • Support the GM and leadership team in companywide communication, policy implementation, and performance management. • Model and reinforce Red House’s five core values: Excellence, Accountability, Service, Collaboration, and Urgency. • Talent Acquisition & Onboarding • Own the full-cycle recruiting process in partnership with the GM and hiring managers — from job posting to onboarding. • Draft, edit, and post job descriptions; manage applicant tracking; schedule interviews; and communicate with candidates throughout the process. • Coordinate with leadership and departmental managers to structure interviews and candidate assessments. • Administer pre-employment steps such as reference checks, DISC assessments, and offer letters. • Partner with the Office Coordinator to ensure a welcoming and organized new-hire experience. • Maintain a proactive recruiting rhythm and candidate pipeline for high-priority roles. • Office & Facilities Management • Oversee day-to-day office operations, supplies, and vendor relationships. • Maintain a professional, clean, and well-organized studio environment that reflects Red House’s brand and culture. • Coordinate meeting logistics, company events, and staff gatherings. • Liaise with managed IT services to ensure smooth tech operations and user support. • Manage facility upkeep, cleaning, and equipment maintenance. • Human Resources & Employee Experience • Administer benefits, payroll coordination, and HRIS data management. • Track PTO, LOA, FMLA, and workers’ compensation. • Maintain accurate employee records and compliance documentation. • Support Red House’s performance management process: schedule reviews, prepare feedback materials, and assist managers in follow-through. • Serve as a confidential, trusted point of contact for employee questions and support. • Help sustain a culture of service, mutual respect, and clarity through consistent communication. • Financial & Administrative: • Review and process accounts payable invoices; keep accurate data entry into Buildertrend and QuickBooks. • Ensure payroll accuracy and timely benefits processing. • Lead audits, vendor renewals, and insurance documentation (including COIs). • Maintain administrative and compliance records to support leadership and accounting functions. Success Indicators • High-quality candidates sourced, screened, and onboarded smoothly; open positions filled within targeted timelines. • New-hire satisfaction scores ≥ 95% after onboarding. • Payroll, benefits, and HR processes completed accurately and on schedule. • Office systems and supplies consistently organized and well-maintained. • SOPs reviewed and updated quarterly; HR and recruiting documentation fully current. • Positive feedback from leadership and staff regarding responsiveness, communication, and follow-through. Qualifications: • 3–5 years of experience in HR coordination, recruiting, or office management (preferably in a small or mid-size organization). • Proven success managing hiring pipelines, interview scheduling, and onboarding processes. • Knowledge of payroll, benefits administration, and HR best practices. • Strong computer proficiency (Google Workspace, Excel/Sheets, HRIS or ATS experience). • Experience with QuickBooks and/or Buildertrend a plus. • Excellent written, verbal, and interpersonal communication skills. • Bachelor’s degree in HR, Business, or related field (preferred but not required).
