About the Role Red Duke Strategies (RDS) is seeking a dynamic Office Manager to join our team to support our contract work with X_Labs, a healthcare innovation office at the Veterans Health Administration, delivering new and emerging healthcare technologies for Veterans. The Administrative Specialist will serve as an extension of the RDS team on-site with our VA clients. As an integral part of a team delivering expert Product Development Management and Subject Matter Expertise to the VA’s X_Labs office, this position will be responsible for managing a wide range of administrative tasks, supporting project management and execution, and providing robust support across various operational areas for the client. This position demands high attention to detail, excellent communication skills, strong writing abilities, and a demonstrated record of effectively supporting diverse administrative functions. The role is full-time and onsite, with the work location split between the Beacon Hill VA Medical Center and the VA Fort Lawton Facility. Responsibilities • Support day-to-day administrative functioning within the X_Labs office by creating and maintaining X_Labs policies and procedures on leave, travel, procurement, onboarding, etc. • Support project management teams and ensure project deliverables are met on time and within scope. • Prepare regular and one-off reports and white papers for client and RDS leadership. • Update and maintain project milestone and staffing trackers. • Coordinate client meetings, demonstrations, and tours, including scheduling, meeting invites, and preparation of all necessary materials. • Provide meeting support, such as note-taking, tracking action items, and meeting minutes. • Assist VA client employees with travel requests and bookings, including coordination with fiscal and travel departments to ensure compliance with VA travel policies. • Assist with client budget analysis and inventory management. • Provide client purchasing support, including assisting certified VA purchasing personnel with procurement processes and coordinating internal VA fund transfers. • Ensure compliance with internal procurement policies and procedures. • Ensure all administrative documents are accurate, up-to-date, and compliant with VA regulations. • Provide general HR support to include generating documentation for client HR needs and contracting functions. Background • Strong writing and documentation skills. • Excellent organizational and multitasking abilities. • High attention to detail and exceptional communication skills. • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, SharePoint, Teams) • Familiarity with project management tools and software such as Microsoft Planner, Microsoft Lists, Smartsheet, Monday.com, etc.) • Experience working with and coordinating multidisciplinary teams. • Experience with VA administrative processes and systems, and knowledge of VA purchasing and travel policies are a plus. • Experience working with medical product development and/or healthcare technology teams is a plus. • Bachelor’s Degree Required To Apply Interested candidates should submit a resume and cover letter to hiring@reddukestrategies.com highlighting their qualifications and relevant experience aligned to the responsibilities listed above.
