Provide administrative and project support to the Partnerships & Business Development team including calendar management, meeting coordination, travel arrangements, expense reconciliation, and on-site event support.
Bachelor’s degree in Business Administration, Marketing or similar, 3-5 years related administrative experience preferably in Sales, Marketing, or Communications, proficiency in Microsoft Office and Sharepoint, strong organizational and communication skills, and flexibility to work overtime.
WHO WE'RE LOOKING FOR The Recording Academy is seeking a qualified Executive Assistant to provide administrative and project support to the Partnerships & Business Development team. The Executive Assistant will also provide some administrative support to the Senior Client Services Director when needed. You are able to multi-task, stay organized, and handle delicate situations with maturity. You have solid interpersonal skills with the ability to adapt to various personalities while providing excellent customer service. You are excellent at managing up and problem solving. WHAT YOU’LL DO • Serve as the first point of contact for the department. • Maintain and manage calendars. • Schedule and organize meetings including creating agendas, supporting materials, and recap notes and reports. • Coordinating travel. • Reconcile expense reports. • Generate and track invoices. • Scan and copy documents. • Organize and maintain electronic files, including on Sharepoint. • Order departmental office supplies. • Provide support on-site during GRAMMY Season and at select events throughout the year. • Other administrative duties as needed. SKILLS & EXPERIENCE • Bachelor’s degree in Business Administration, Marketing or similar field. • 3-5 years of related administrative experience, preferably in Sales, Marketing, or Communications, and/or equivalent combination of education and experience. • Proficiency in Microsoft Office (Outlook, Word, Excel and PowerPoint) and familiarity with Sharepoint. • Excellent organizational skills and attention to detail. • Ability to work efficiently while managing workload and meeting deadlines, keeping information organized and accessible. • Strong written and verbal communication skills with excellent customer service and the ability to maintain a professional and diplomatic demeanor at all times. • Excellent interpersonal skills with the ability to solve problems and maintain composure in highly-sensitive situations while maintaining confidentiality. • Must be flexible and adaptable with the ability to pivot and prioritize due to frequent changes, delays, or unexpected events. • Willingness and availability to work overtime as needed . SALARY AND BENEFITS The starting salary for this position is between $56,500 to $61,800 per year, benchmarked against industry standards. Salaries for positions required to be in specific geographic locations reflect the corresponding labor market. The actual offer extended will depend on the candidate's experience, qualifications, and the role's requirements and will include our comprehensive benefits package (with medical, dental, and vision coverage, a 401k match, generous paid time off, and more).
