Job Summary We are seeking a reliable and organized Entry-Level Project Manager or strong Administrative Virtual Assistant with leadership and people-management skills. This role is ideal for someone who can confidently communicate with clients, understand their needs, and then manage teams, tasks, and timelines to ensure smooth execution. You will serve as a key point of coordination between clients and internal teams, handling both administrative and light project management responsibilities. Responsibilities • Communicate directly with clients via Zoom, phone, and email to understand project needs • Lead and participate in Zoom meetings professionally • Translate client requirements into clear tasks and action plans • Assign, track, and manage tasks across teams or individuals • Monitor deadlines, progress, and deliverables • Follow up consistently to ensure work is completed accurately and on time • Maintain basic project plans, schedules, and forecasts • Handle administrative coordination and internal organization • Provide regular status updates to management and clients • Identify risks or delays early and escalate when needed • Maintain confidentiality, professionalism, and trust at all times Requirements • Background in administrative support, operations, or virtual assistance • US-based and legally authorized to work • Strong verbal and written communication skills • Experience in leading and managing Zoom meetings • Confident speaking with clients and stakeholders • Highly reliable, punctual, and organized • Trustworthy with sensitive information • Ability to manage people, priorities, and deadlines • Comfortable using Google Workspace and task-management tools • Self-starter who can work independently with minimal supervision Preferred Qualifications (Nice to Have) • Experience running programs or serving as a program lead/manager • Prior leadership, supervisory, or team coordination experience • Familiarity with project management tools (ClickUp, Asana, Trello, etc.) What Success Looks Like • Clients feel heard, understood, and confident • Teams clearly understand responsibilities and deadlines • Tasks move forward without constant reminders • Projects remain organized and on schedule • You become a trusted point of contact internally and externally Growth Opportunity • This role starts at 20 hours per week and has the potential to grow into full-time hours based on performance, reliability, and business needs.
