Job Description What will you do? General Office Management – Charlotte, NC: Review incoming mail and deliver to appropriate person. Manage office access cards and key fobs with RBC & property management. Submit property management work orders, as needed. Order supplies, as needed. Maintain break room, work rooms, and common area. Prepare UPS packages and order supplies, as needed. Binding material for on-site meetings, as needed. Maintain Office Management Manual with updates, as needed. Communication and scheduling with outside vendors and internal technology support. Event Planning: Coordinate meetings/event planning (setting up conference calls, scheduling meeting rooms, arranging reservations/catering, invitations, RSVPs, etc.), as needed. Plan Charlotte office events: Holiday Party, Knights Game, Volunteer/Foundation events/donations. Assist Operations Lead with planning/tracking/coordinating the Community Investments group offsite event (every 3 years). Conference/Marketing expense tracking reports, conference exhibit promo orders/shipping, prepare conference check requests and sponsor ads and submit for approvals. Support Underwriting team with new Market Study Engagements (letters signed & returned, developer request letters, and market study tracking log). Prepare monthly group call Power Point deck and distribute prior to call. Backup for Operations Associate for Pitch and IC Package distribution. Gather information and conduct research as requested. Updating Excel and Power Point files as directed by management. Additional administrative tasks as assigned by Operations Lead or Head of Community Investments. What do you need to succeed? Must-have: 10+ years’ experience in administrative, executive assistant, or business management role with multi-disciplinary responsibilities. Strong organizational and time-management skills. Proficiency in MS-Outlook and MS-Office applications, and tech-savvy for industry applications. Experience with CONCUR for expense reports. Working experienced in event planning (small and large events). Excellent written communication skills and attention to detail. Superior interpersonal and verbal communication skills.
