Job Description Administrative Assistant Location: Duchy Hospital, Cornwall Hours: Part Time 22.5 hours per week Job Summary: We are seeking a proactive and organised Administrative Assistant to support the Senior Leadership Team (SLT) and the PA to the Matron and Hospital Director. This role is ideal for someone with strong administrative skills, excellent communication abilities, and a flexible approach to work. You will play a key role in maintaining efficient office operations and supporting a range of hospital initiatives. Key Responsibilities: Provide administrative support to the SLT and PA to Matron and HD. Develop and maintain systems and processes to improve efficiency. Take accurate minutes of meetings and briefings. Collate and distribute the weekly hospital update. Coordinate the purchase and distribution of uniforms, name badges, and ID badges. Organise training days and manage non-mandatory training requests. Allocate staff lockers and manage key code changes. Monitor and follow up on PDR (Performance Development Review) and training compliance. Process reference requests and driving on company business applications. Support long service awards and the Customer Excellence Reward Scheme. Assist with customer service training and SLT on-call coordination. Prepare documents and complete forms in line with department procedures. Liaise with internal and external stakeholders in a professional manner. Resolve queries via phone, email, or in person with excellent customer service. Report incidents and hazards using appropriate procedures. Comply with Ramsay Health Care’s infection control, confidentiality, and risk management policies. Essential Criteria: Demonstrated computer skills, particularly in Microsoft Office (Word, Excel, Outlook, PowerPoint). Excellent written and verbal communication skills. Proven ability to work both independently and collaboratively within a team. Strong organisational skills with the ability to prioritise and adapt to changing needs. Demonstrated customer service skills and a professional, friendly manner. Desirable Criteria: Previous experience in the healthcare sector or a similar administrative environment.
