About the Role We’re looking for a detail-oriented and organized Project & Administrative Coordinator to keep our operations running smoothly and support both our team and clients. This is an entry-level role designed for someone with 1–3 years of experience who is eager to learn and grow in a purpose-driven environment. You’ll handle day-to-day administrative tasks, keep systems organized, and provide reliable support so our team can stay focused on creating meaningful impact. This role is behind the scenes but also people-facing — you’ll schedule meetings, follow up with clients, and keep communication flowing. You’ll report into our Operations & People function and work closely with the whole team. You don’t need to know everything on day one — what matters most is your organization, attention to detail, and willingness to learn. You’re driven by a desire to make a difference behind the scenes. You combine strong administrative chops with a collaborative spirit. You’re not just focused on crossing tasks off a list; you’re someone who’s always looking for ways to improve how things are done. If that sounds like you, we’d love to hear from you! Responsibilities Your responsibilities are shaped by the intended outcomes in Purppl’s Theory of Change. Administrative, Client, and Team Support You’ll help the team stay organized and deliver high-quality service to our clients. • Organize and support internal and client meetings through thoughtful scheduling, agenda and note coordination, and follow-up. • Maintain and update client records in our HubSpot CRM and project management tools. • Manage shared files and folders in Google Drive for easy access and collaboration. • Prepare contracts from templates, send for signatures, and document filing. • Support onboarding for new clients and including scheduling multi-party meetings and tool access. • Ensure digital operational tools, templates, and resources are kept up to date. • Follow up with clients and partners to keep communication flowing and ensure timely responses. Financial Coordination You’ll help with basic financial coordination and processing tasks to support smooth operations. • Track and organize EIR invoices, timesheets and compensation documents. • Assist with keeping company forecasts up to date. • Prepare client invoices for review and approval. • Assist with expense tracking and basic financial administration with accuracy and attention to detail. General Admin Support You’ll provide general administrative support and help new team members get oriented. • Be the first point of contact for the shared inbox, directing messages as needed. • Support internal communication, reminders, and process documentation. • Support Google Workspace clean-up and organization. • Help with logistics for events, workshops, and travel bookings. • Keep tools like Google Workspace tidy and organized. • Assist with simple data entry, reporting, and research. • Identify opportunities for process improvements and share ideas with the team. For this role, we are seeking someone with the following experience: • ​​1-3 years of experience in administration, operations, client services, or related roles. • Strong organizational skills and attention to detail • Clear and professional written and verbal communication • Capability to work both independently and as part of a collaborative remote team. • Comfortable reaching out to people and following up. • Ability to adapt to changing priorities and manage multiple responsibilities with attention to detail. • Proficient in Google Workspace (Docs, Sheets, Slides, Drive). (Transition from Microsoft could be accommodated.) • Comfortable acknowledging what you don’t know, asking questions and doing the research to learn and develop skills. • Demonstrated commitment to decolonization, diversity, equity, inclusion and environmental sustainability. • Interest and alignment with the social impact sector. Bonus if you have: • Experience with HubSpot or another CRM. • Familiarity with invoicing, or financial processes. • Comfort with LinkedIn, Google Analytics, or other basic data tools.
