Payroll and Tax Compliance Specialist (1099 Contractor) Department: Human Resources Employment Type: Part Time Location: Remote - US Description About the Role: We're seeking an experienced payroll and tax compliance professional to oversee our payroll operations and ensure multi-state tax compliance. Since we use ADP Comprehensive Services/Workforce Now for payroll processing, you'll focus on oversight, compliance monitoring, coordination, and strategic payroll management rather than manual processing. Key Responsibilities Key Responsibilities: Payroll Oversight & Coordination (with ADP): Serve as primary liaison with ADP Comprehensive Services for payroll processing Review and approve payroll registers for accuracy before transmission Coordinate semi-monthly payroll cycles and ensure timely processing Manage payroll inputs for new hires, terminations, status changes, salary adjustments Troubleshoot payroll discrepancies and employee pay inquiries Oversee employee data accuracy in ADP Workforce Now Tax Compliance & Filing: Serve as primary contact and liaison with ADP Comprehensive Services Smart Compliance Ensure accurate and timely federal, state, and local payroll tax deposits and filings Monitor multi-state tax compliance across all employee locations Manage new state registrations as employees relocate or are hired in new states Review quarterly and annual payroll tax reports for accuracy Respond to and resolve tax notices from federal, state, and local agencies Coordinate with ADP on tax filing issues and corrections Year-End & Reporting: Oversee W-2 and 1099 preparation and distribution Reconcile payroll tax accounts quarterly and annually Support internal and external audits with payroll documentation Prepare payroll-related reports for Finance and leadership as needed Compliance & Process Improvement: Stay current on federal, state, and local payroll tax law changes Update payroll policies and procedures as regulations change Recommend process improvements to increase efficiency and accuracy Collaborate with Finance and People Ops on payroll-related matters Skills, Knowledge & Expertise 5+ years of payroll administration and tax compliance experience Hands-on experience and high level of expertise with ADP Workforce Now and ADP Comprehensive Services Demonstrated expertise in multi-state payroll tax compliance Strong understanding of federal, state, and local payroll tax regulations Experience managing payroll for 100-200+ employees Excellent attention to detail and problem-solving skills Independent and self-starting worker with a proactive approach Preferred Qualifications: CPP (Certified Payroll Professional) or FPC (Fundamental Payroll Certification) Experience in professional services or multi-client environments Knowledge of state-specific regulations (we have employees in Arizona, California, Colorado, Florida, Georgia, Idaho, Illinois, Indiana, Kentucky, Massachusetts, Michigan, Minnesota, Missouri, North Carolina, Nebraska, New Hampshire, New Jersey, Nevada, New York, Ohio, Oregon, Pennsylvania, South Carolina, Tennessee, Texas, Utah, Virginia, Washington, Wisconsin) Job Benefits Classification: 1099 Independent Contractor Time Commitment: Approximately 20-25 hours per week (flexible scheduling) Rate: $45-$55 hour Work Arrangement: Fully remote Duration: Ongoing engagement with 30-day notice period DEI Statement: At Propeller Industries, we encourage our employees and our clients to bring their true selves to the organization.
