Executive Assistant & Marketing Lead Promozation is looking for an Executive Assistant & Marketing Lead to our team! The ideal candidate should be highly self motivated, detail-oriented, friendly, personable, a strong sense of urgency, quick learner and great at multi-tasking. We are a woman owned and operated promotional products firm founded in 2012 and based in Greenville, SC. This is such a fun, fast paced industry, and we are very passionate about creating the trendiest and most creative promos! Job Responsibilities: • Administrative • Office related tasks like creating and mailing swag gift boxes, assisting with holiday gift box fulfillment, labeling and shipping • FedEx/UPS/Storage Unit runs 2x a week, opening mail, depositing checks • Creating shipping labels • Ordering Promozation branded swag and organizing it • Ordering office supplies, business cards, items for virtual team building meetings, gifts, and more • Moderating virtual team calls for activities • Planning and preparing activity for monthly team building meeting • Creating/filtering/organizing spreadsheets • Preparing CEO for any events in regards to travel arrangements, creating documents or presentations, ordering strategic and specific event branded merchandise, coordinating delivery to hotel/convention center. • Attending events to help setup, breakdown, network, and take notes (some light travel required with most being day/evening events) • Implementing and creating new processes as needed to create higher efficiency • Problem solving on various internal issues that arise and researching to find a solution • Screening resumes and scheduling candidates for interviews when hiring • Skimming through any paper or digital catalogs to pull out any item that is unique or interesting to share with the team • Emailing vendors to have owner removed from emails that the team is copied on to create more efficiency • Submitting requests to developer to resolve any system glitches or improvements • Researching tasks for the CEO • Accounting • Paying vendor bills • Depositing checks • Accounts Receivables - calling/emailing on past due accounts and follow ups • Processing ACH payments once or twice a week • Updating client payment platforms with updated information/adding accounts to their portals • Emailing vendors to get setup to paperless invoicing • Emailing Insurance for COI’s • Marketing • Updating, posting and monitoring social media pages • Experience in light social media required • Writing introduction emails to new leads acquired from events and meetings • Strategic outreach to targeted companies • Creating targeted email blasts • Experience in MailChimp preferred, but not required. Must be willing to learn, if not. • Basic experience in Canva preferred, but not required. Must be willing to learn, if not. • Assist with marketing programs and campaigns to support strategic objectives. Requirements/Skills: • Able to plan and prioritize while focusing on detail orientation and effective time management. • Applies creative problem-solving to address business needs and issues • Customer service oriented, friendly and personable • Solution finder who approaches every challenge with a "Yes!" • Excellent written and verbal communication skills • Team player, must be willing to fill in for the Sales & Client Coordinator temporarily (6-8 weeks) and/or check orders when any other team member is on maternity leave • Computer savvy • Resourceful • Creative • Good at making judgement calls • Quick learner • Exceptional organizational skills • Highly detail oriented • Reliable and consistent, nothing slips through the cracks with a proven method • Adaptive and can easily pivot when needed • Proficient with social media platforms, but not required • Sense of urgency & works well under pressure when there are firm deadlines and timelines • Great basic math skills • Persistent in following up to achieve the desired end result • Love dogs?!
