Manage day-to-day operations including finance, HR, compliance, vendor relations, and support for program and organizational efficiency in a hybrid work environment.
Minimum 4 years operations support experience, preferably in nonprofits or political operations, with strong project management, communication, and proficiency in operational tools.
Position Title: Operations Support Manager Reports To: Executive Director (with close collaboration with the Political Director and Development Officer) Location: Chicago, Illinois metro region. A mixture of remote and in-person work will be required. May require limited travel to support Project 50 events and meetings. Employment Type: Full time. Exempt. Position Summary The Operations Manager is responsible for facilitating day-to-day operations, ensuring organizational quality, efficiency and consistency. The Operations Manager directly and through external vendor partners, supports Project 50’s program, financial, HR, and compliance functions. This team member will contribute to efforts to identify opportunities to use technology and apps to streamline systems, and that will ultimately enhance Project 50’s impact and sustainability. Responsibilities Planning, Budget & Finance • With the Executive Director, assemble the annual operating plan and budget, including deliverables and timelines. • Work with Project 50’s accounting service to deliver monthly financial reports. • Manage organization credit cards. • Support the initial financial set-up of new vendors and state partners, including securing and storing W-2 forms, etc. (As well as maintenance of existing payee relationships.) • Check in with Project 50’s compliance service and reconcile any discrepancies. Quality Assurance & Compliance • Maintain a centralized inventory of contracts, policies and compliance obligations with systems to track renewals and deadlines. See also, Office & Information Technology below. • Collaborate with compliance and legal advisors, and Project 50 staff members to establish a compliance program that identifies obligations and assigns responsibilities. Human Resources • Establish and maintain an employee handbook that is aligned with organizational strategy and values. • Manage the onboarding process for new employees, interns and contractors. • Manage employee offboarding process. • Oversee payroll system. • Develop and manage systems to maintain employee HR files and legal documents. • Oversee selection of and serve as point person with HR benefits provider. Officing & Information Technology • Support the selection, maintenance and integration of Project 50’s information systems, including fundraising / donor / gift records and financial accounting. • Maintain an organization information management system, with a particular focus on contracts and other financial records. Ensure all Project 50 stakeholders understand how to add and manage Project 50 records to safeguard security and facilitate ease of retrieval. • Develop and maintain an operating procedures manual. • Oversee and develop contracts and manage vendor agreements, resolving issues when they arise. • Research and recommend in-person and remote work solutions, including co-working space and technology. • Where advantageous, research, recommend and purchase outsourced services, emphasizing procurement from diverse businesses and vendors. Program & Operations Support • Process payments for Project 50 state partners. • Develop a system and process reimbursements for out-of-pocket / travel expenses for Project 50 employees, board members, event speakers, etc. • Assist with travel arrangements for state partners for Project 50 events. • Coordinate meetings; manage organization planning calendar. • Up to six supporter meetings / year. • Four board meetings - (3x) virtual and (1x) in-person. • Periodic virtual and (1x) in-person state partner convenings. • Assist with preparation for board of directors meetings. • Manage general / admin email inbox. • Manage mail collection; deposit checks and generate related donation documentation. • Research and implement systems in collaboration with Project 50 that increase automation and efficiency. • Seeks opportunities for professional development that will enhance job performance and satisfaction, including attending webinars and seminars, and building networks. Qualifications • Proven experience in operations support, with a minimum four (4) year track record. • Preference for candidates coming from nonprofits, fundraising or political operations. • Demonstrated success in supporting complex projects and systems. • Demonstrated ability to enhance organizational performance through systems improvements and / or outsourcing. • Excellent project management skills, and ability to meet deadlines with limited supervision. • Strong interpersonal communication abilities. • Discretion and confidentiality when communicating about sensitive topics. • Proficiency in CRM/databases, NGP, ActBlue, Constant Contact, G-Suite, and other operational tools. • High level of integrity, sound judgment, and commitment to inclusivity and equity. • Passionate about protecting and advancing reproductive rights. Compensation & Benefits Salary guide: $45,000 to $60,000, commensurate with experience.
