Position Summary We are seeking an experienced, organized, and detail-oriented HVAC Office Manager to lead our administrative operations and support our field technicians. This critical role is the hub of our company’s daily functions, ensuring smooth scheduling, strong communication, and high-level customer service. Key Responsibilities • Oversee and coordinate daily dispatch of HVAC technicians • Manage incoming service calls, schedule appointments, and optimize routes • Ensure customer needs are met efficiently and professionally • Communicate effectively with technicians, customers, and vendors • Monitor job progress and maintain up-to-date scheduling and status updates • Maintain office organization, workflow, and administrative procedures • Support billing, invoicing, and payroll coordination • Train and supervise office staff as needed • Ensure compliance with company policies and procedures • Track parts and equipment orders and manage inventory communication • Assist with customer follow-ups, reviews, and service satisfaction Qualifications • Prior experience in HVAC, construction, or service-industry office management required • Strong dispatching, scheduling, and administrative experience • Proficient in CRM software, Microsoft Office, and scheduling platforms • Excellent verbal and written communication skills • Strong problem-solving and organizational abilities • Ability to remain calm under pressure and juggle multiple priorities • Detail-oriented and customer-focused • High school diploma or equivalent required; Associate’s or Bachelor’s degree a plus What We Offer • Competitive pay based on experience • Health and dental benefits • Paid time off and holidays • Supportive and team-oriented work environment • Opportunities for growth and advancement • Employee training and development programs Join Our Team!
