Facilities Assistant/Receptionist for a company located in Newport Beach CA. Company will complete fingerprinting prior to start, at company cost - no charge to candidate. Hours are 8:00 am – 4:30 pm with an hour unpaid lunch. 37.5-hour week Pay rate - $25/hour Professional business casual dress - jeans are okay on Friday This is a Temporary position covering for a leave of absence for the approximate duration of 4 to 6 weeks and estimated to begin on Thursday, October 16 for a day or two of training. Responsibilities: Receive and welcome all visitors to reception. To create a favorable impression of the company through provision of a friendly, helpful and welcoming initial contact to all visitors and staff Ensure that telephones are answered in a professional and timely manner and customer inquiries are dealt with in accordance with service standards and within agreed response times Issue all visitors and vendors with a visitor badge, ensuring their names and details are correctly spelled and logged into the visitor book or system Ensure procedures are followed to contact a member of the relevant department if their host proves unobtainable Resolve any problems or complaints. Aim to handle all queries within the bounds of own knowledge and experience but equally make appropriate decisions about when to escalate issues upwards Ensure that all the maintenance and service contractors have the appropriate documentation for working and accessing the building. Ensure the reception area is kept neat and tidy. The desks must be free from clutter and the seating area regularly tidied and cleared of rubbish Check that the lighting at the desk, reception area and any display cabinets is switched on and that any faults are reported to the FM help desk Endeavor to support the team in requests that may undertake additional hours. Ensure health and safety compliance at all times Undertake any other appropriate duties as required by the client or your manager Provide a customer focused service and engender positive client and colleague relationships Demonstrate attention to detail and ownership of the processes relating to areas of responsibility Continually support and promote a teamwork approach within the company and the vendor team Comply with company process and procedures at all times Requirements: Min 2 years Reception / Clerical experience High School Graduate Good verbal and written communication skills Computer Literate - able to pick up on systems fairly quickly and with accuracy Ability to work on a team or independently, as required Basic math skills - add, subtract, multiply, and divide in all units of measures, using whole numbers, common fractions, and decimals.
