Administrative Assistant • Hours: Monday thru Friday- full-time • Pay Rate: $28+/hr • Location: Morristown, NJ • Experience: 3+ years • Proof of vaccination is a requirement for hire. SUMMARY: We are looking for an enthusiastic and motivated individual to join the . This is a unique opportunity for someone with experience in administrative support. The primary function of this role is to support the leadership team with essential administrative functions and the position will require a high level of interaction and coordination with other departments within the organization. The position will report directly to the CFO but the ideal candidate will be a self-starter, work well independently and is generally able to self-manage priorities and tasks. Training, mentorship, and support will be provided. Administrative Assistant Duties and Responsibilities: • Create, maintain, and monitor the company event calendar specific to sponsorships events, galas, golf outings, trade shows and conferences. • Register attendees for sponsorship events, golf outings and galas. • Assist with travel arrangements, advertisements & swag as needed for events. • Liaise and coordinate with the Business Development Team and Finance Team for event registration and event budgets. • Assist with the completion of Amex and Cash expense reports for Principals and Associate Principals as needed. • Execute monthly NY State compliance reporting. • Assist CEO with schedule management for both internal and external meetings. • Assist CEO and leadership team with the preparation of correspondence, agreements and letter proposals as needed. • Assist with the coordination of staff meetings and staff events (summer picnics, Holiday Party, Construction, etc.) • Respond to all mail solicitations for donations. • Assist with office annual initiatives as needed. • Backup to receptionist as needed only for phones and deliveries. • Assist with other ad hoc administrative tasks as requested. Required Skills/Abilities: • The role requires a consistent and reliable presence in order to fulfil the responsibilities of the position • This role requires coordination and collaboration with many departments and strong communication skills, both written and verbal are essential. • Demonstrates eagerness to learn new processes and systems, looks to continuously improve efficiency. • Excellent organizational skills and attention to detail • Keen ability to manage time, competing priorities and multi-task. • Problem-solving skills essential to this role • Resourceful and results oriented mindset. • Proficient in Microsoft Office Suite or related programs (Office 365, Word, Teams) • Ability to maintain meticulous records and files.
