Job Summary This is a HYBRID role. We are seeking a friendly, organized, and tech-savvy home care intake coordinator to support the daily operations of our private home care agency. As the first point of contact for prospective clients and families, you will play a key role in managing incoming inquiries and following up on leads. Your responsibilities will include answering and returning calls, scheduling consultations, managing lead information, and ensuring a positive first impression of our agency. The ideal candidate is detail-oriented, comfortable using computers and phone systems, and able to communicate with compassion, professionalism, and efficiency. This is a critical role for helping families find the care they need and supporting the growth of our agency. Responsibilities • Respond to new inquiries from referral sources (e.g., online platforms, community partners, physician offices) by phone and email in a timely, professional manner • Conduct intake calls to gather key client information such as care needs, schedule preferences, and contact details • Accurately document all calls, emails, and lead activity in agency records or shared tracking sheets • Follow up with prospective clients and families to answer questions, provide updates, and nurture relationships until services begin • Coordinate with agency leadership to schedule in-home consultations and relay important details to the care team • Monitor the agency email inbox and promptly route or respond to messages • Support basic marketing efforts, such as posting on referral platforms or updating online profiles under the direction of management • Maintain confidentiality of client and caregiver information in accordance with company policy and privacy regulations • Assist with other administrative projects as needed to support growth of the agency Requirements • Previous experience in customer service, healthcare intake, or administrative support (home care or healthcare setting preferred) • Excellent phone and email communication skills, professional, empathetic, and clear • Strong organizational skills with attention to detail and able to document calls and emails accurately • Comfort using basic technology such as email, spreadsheets, and shared documents (Google Workspace or similar) • Ability to manage multiple leads and tasks and follow up promptly • Discretion and professionalism when handling sensitive client and caregiver information • Reliable internet connection and quiet workspace for phone and email communications (this is a part time hybrid or remote role) • Flexibility to work approximately 20 hours per week, with potential for hours to increase as the agency grows • High school diploma or equivalent required, associate’s or bachelor’s degree preferred but not mandatory • Familiarity with health insurance and home care coverage options in Massachusetts, including an understanding of common plans and terminology • Performs other duties as assigned in support of agency operations.
