Candidates should have 2-4 years of hands-on payroll processing experience in a multi-jurisdiction environment and proficiency in ADP Workforce Now is strongly preferred. A strong working knowledge of payroll tax regulations and attention to detail are essential.

Position Summary As part of a growing two-person payroll team, the Payroll Specialist will play a critical role in the hands-on execution of payroll operations for our 400+ employees. Working closely with the Senior Payroll Administrator, this position contributes to all aspects of payroll processing, compliance, reporting, and continuous improvement efforts. This is a hybrid role, with two in-office days per week from our downtown Phoenix office. This highly visible role is ideal for someone who is detail-driven, process-oriented, and thrives in a collaborative environment. Essential Responsibilities End-to-End Payroll Support and Employee Service Perform timely and accurate processing of bi-weekly payroll, including wage payment calculations, retro payments, termination pay, wage/tax reporting, garnishments, timekeeping maintenance, and voluntary/involuntary deduction data. Process Call Center Agent activity-based compensation workflows and analysis. Process off-cycle payrolls as needed. Maintain and monitor the shared Payroll email inbox. Serve as a primary contact for employee payroll inquiries, delivering accurate and timely support. Data Reconciliation and Accuracy Maintain HSA tracking and reconciliation to ADP for accurate annual filings. Assist with month-end close processes related to payroll, including reconciliations of accrued payroll, 401(k), and benefits. Regulatory Compliance Assist with quarterly tax filing reviews and reconciliations (941 tracker, SUI, state, and local tax filings). Support tax amendments and adjustment preparation for prior quarters, as needed. Collaborate with the Senior Payroll Administrator on internal and external tracking to ensure year-round state and local tax jurisdiction compliance. Maintain and create employer tax portals for state agency platforms. Assist with payroll compliance related to compensation structures, pay policies, paycheck calculations, and pay statement requirements. Process Improvements Evaluate and develop ADP reports to enable and enhance payroll auditing. Support research and development of automated processes to improve efficiencies in the payroll function. Develop and maintain payroll procedures. Assist with developing and presenting payroll training for managers (e.g., timecard approval, temporary assignments, report functionality, and system familiarity). Act as a backup for the Senior Payroll Administrator/Payroll Manager in training new hires or managers. System Support Assist with ADP Workforce Now (WFN) system auditing and database integrity maintenance. Create and manage support cases with the ADP team, maintaining follow-up until resolution. Participate in ad hoc projects and tasks as determined by the Accounting or HR teams. Qualifications / Requirements Associate’s degree or some college preferred. 2–4 years of hands-on, end-to-end payroll processing experience in a multi-jurisdiction environment required. Experience in mid-sized organizations (300–600 employees) preferred. ADP Workforce Now (WFN) experience strongly preferred. Proficiency in Microsoft Excel (VLOOKUPs, pivot tables, and reconciliation formulas). Strong working knowledge of payroll tax regulations, wage and hour laws, and final pay requirements for multiple states (e.g., Arizona, Utah, California). Demonstrated accuracy and consistent attention to detail in payroll functions, including wage calculations, deduction management, audits, and reconciliations.
