What You’ll Own & Elevate This role is the operational heartbeat of our company. You will: Keep the Office Running Like a Machine • Ensure smooth daily operations and a polished, professional environment. • Manage supplies, vendors, maintenance, and workspace organization. • Oversee office calendars, meeting spaces, and internal communication flow. Support Leadership & Keep Us Organized • Manage scheduling, emails, follow-ups, and administrative needs for our leadership team. • Prepare documents, proposals, and internal communications. • Maintain records, licenses, compliance docs, and travel/event arrangements. Support the Team & Strengthen Our Culture • Assist with onboarding/offboarding and maintain employee files. • Coordinate schedules, PTO, payroll submissions, and HR compliance. • Champion our culture—birthdays, milestones, retreats, and team engagement moments. Support Translation Workflow (No Language Skills Required) • Onboard new vendors into our project systems. • Maintain accurate vendor and linguist records. Support Client Service • Be the first, friendly point of contact for inquiries. • Schedule client meetings and send updates or reminders on behalf of project managers. Keep Our Systems & Tools Running Smoothly • Maintain user access for internal tools (CAT tools, CRM, PM systems). • Troubleshoot basic tech issues and coordinate with IT when needed. • Track software renewals and subscriptions. Support Accounting & Procurement • Process invoices, receipts, reimbursements, and AP/AR tasks. • Reconcile transactions and help monitor budgets. • Assist with vendor payments and financial documentation. Keep Us Compliant & Process-Strong • Maintain SOPs, checklists, templates, and version control. • Support internal and external audit preparation. • Assist with process-based QA documentation.
