JRN #2321 Our client is seeking a highly skilled Executive/Personal Assistant to support a senior-level executive. This role requires a proactive, detail-oriented professional who thrives in a fast-paced, dynamic environment. The ideal candidate will be exceptionally organized, communicative, and discreet, with the ability to anticipate needs and manage complex executive and personal responsibilities. You will oversee heavy calendaring, coordinate extensive domestic and international travel, and provide flexible support to an executive who travels frequently. This position blends high-level administrative support with personal assistance and is best suited for an adaptable, tech-savvy problem-solver energized by diverse, fast-changing priorities. Responsibilities: • Manage complex, dynamic calendars, coordinating high-level appointments, meetings, and events across multiple time zones. • Coordinate domestic and international travel arrangements, including accommodations, and detailed itineraries. • Handle personal matters, errands, and lifestyle management tasks with discretion and efficiency. • Manage email and correspondence with high-level stakeholders, ensuring timely, accurate, and professional communication. • Prepare, edit, and proofread reports, presentations, and other documents to support strategic initiatives. • Serve as the primary point of contact for vendors, and external partners. • Partner with other home office staff to ensure seamless operations • Manage confidential and sensitive information with the highest level of discretion. • Coordinate logistics for business-related events and engagements. • Anticipate the principal’s needs and provide proactive solutions to streamline daily operations. • Support home office operations, liaise with legal, financial, and other professional advisors as needed. • Manage special projects requiring independent research, strategic thinking, and discretion Qualifications: • Proven experience as an Executive or Personal Assistant supporting senior executives. • Exceptional organizational, time-management, and multitasking skills with the ability to prioritize effectively. • Outstanding communication and interpersonal skills, with professionalism and discretion at all times. • Strong problem-solving skills and ability to work independently with minimal supervision. • Experience managing complex travel logistics and high-profile events. • Proficiency in Microsoft Office Suite and other productivity tools. • Flexibility to accommodate irregular hours, including occasional evenings and weekends. • High emotional intelligence, diplomacy, and tact. • Experience in private home office or family office environments. • Tech-savvy, proactive, and adaptable, capable of managing multiple responsibilities with discretion.
