Job Details Job Location: 476 Wheelers Farm Road - Milford, CT Position Type: Full Time Education Level: 2 Year Degree Salary Range: $25.00 - $30.00 Hourly Job Shift: Weekdays Job Category: Facilities Description Position: Operations Coordinator (Temporary minimum 6-month/Full-Time) Reporting to: Sr. Director of Corporate Operations Department: Operations Job Overview: We are seeking an Operations Coordinator to support the day-to-day operational needs across all club locations, working closely with our Operations, Facilities, and IT teams to ensure processes, upkeep, and functionality run smoothly and efficiently. This is a temporary role, with a minimum duration of 6-months, which could be extended. This role serves as a key individual contributor within the Operations team, handling a mix of administrative and operational tasks, including vendor communications, project coordination, new club setups, and recurring ordering and reporting needs. By supporting both facility-related initiatives and broader operational priorities, the Operations Coordinator helps drive efficiency, maintain compliance, and deliver a consistent, high-quality experience for members and team members alike. We need a highly organized and adaptable Operations Coordinator who can balance administrative responsibilities with hands-on operational tasks, helping to streamline processes, manage vendor relationships, and coordinate projects that keep our clubs running at their best. Your ability to stay ahead of deadlines, communicate effectively across teams, and manage multiple priorities will be key in driving operational excellence and supporting a high-quality experience for both members and team members. What you will do: • Support the Operations team with a variety of tasks and projects, including the opening of new locations, ongoing maintenance of existing clubs, and remodels or refresh initiatives. • Act as a point of contact for maintenance and repair requests, ensuring timely processing and completion through Service Channel. • Collaborate with internal departments, club management, vendors, partners, and clients/members to ensure smooth operational communication and execution. • Assist with vendor onboarding and invoice processing. • Maintain up-to-date local permits and licenses in coordination with the facilities team. • Manage software access support such as password resets and troubleshooting for platforms like CRS, ABC, and Franchise Management tools. • Serve as liaison with legal counsel on ABC agreements and other compliance documentation as needed due to operational or legal changes. • Handle customs clearance for Canadian operations and set up new clubs through COLE International. • Coordinate ordering of parts and small equipment on a recurring basis for Facilities and Operations. • Manage Enterprise Rental Car account and logistics. • Reconcile credit card expenses for the Operations, IT, and Facilities teams. • Produce and maintain weekly reports using Datatrak, including club account reviews, insurance reporting, and membership collections. Assist with consumer protection agency inquiries, including BBB and chargebacks. • Support event logistics by coordinating approvals and ordering BDA supplies for the Club Support Team.
