JobID: 2773 Position Type: Other/Non-Bargaining Unit Date Posted: 9/24/2025 Location: Central Office Date Available: 11/03/2025 EXECUTIVE ASSISTANT TO THE PCS SUPERINTENDENT OF SCHOOLS About the Role: The Executive Assistant to the Superintendent of Schools is a highly responsible, confidential, and detail-oriented position providing comprehensive administrative support to the Superintendent and the district's leadership team. This role is crucial for the efficient operation of the Superintendent's office, serving as the primary point of contact for internal and external stakeholders, including school board members, staff, parents, and community partners. The ideal candidate will be a proactive problem-solver with exceptional organizational skills and a strong commitment to supporting the educational mission of the district. Responsibilities: Administrative Support: Manage the Superintendent's calendar, schedule meetings, and handle all correspondence. Prepare, edit, and distribute official documents, reports, and presentations for the Superintendent and the school board. Communication & Public Relations: Serve as the liaison between the Superintendent and various stakeholders. Screen and prioritize incoming communications, directing inquiries to the appropriate department. Draft and disseminate internal and external communications on behalf of the Superintendent. Emergency Communication: Act as a critical point of contact during school or district-wide emergencies. Assist the Superintendent in drafting and disseminating urgent communications to staff, parents, and the community via phone, email, text alerts, and social media platforms. Maintain and update emergency contact lists and communication trees. Meeting Coordination: Organize and prepare materials for school board meetings, committee meetings, and other district-level gatherings. Record and transcribe meeting minutes accurately and ensure timely distribution. Please note that school board meetings and other essential functions often occur in the evenings, requiring flexibility in working hours. Confidentiality: Handle highly sensitive and confidential information with discretion, including personnel matters, legal documents, and strategic planning. Project Management: Assist with special projects and events as assigned by the Superintendent, including planning ceremonies, professional development sessions, and community engagement events. Record Keeping: Maintain and organize the Superintendent's office files, both physical and digital, ensuring easy access to important documents and records. Budget Management: Monitor and track the Superintendent's office budget, process invoices, and handle expense reports. Qualifications: Education: A Bachelor's degree is preferred; an Associate's degree with significant relevant experience will be considered. Experience: A minimum of 5-7 years of experience in an executive assistant or similar administrative role, preferably within an educational or public sector environment. Experience supporting a C-level executive or senior leader is a must. Skills: Exceptional Communication Skills: Both written and verbal, with the ability to communicate professionally and effectively with diverse audiences, especially under pressure during critical incidents. Organizational Prowess: Superior time management, multitasking, and organizational skills. Technical Proficiency: Advanced knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and a strong aptitude for learning new software and technologies. Experience with the following is highly desirable: Student Information Systems (SIS):Currently PowerSchool Financial and HR Platforms: Currently Admins and Frontline Education). Board Management Software: For organizing meeting agendas, minutes, and documents, currently google docs. Project Management Tools: Emergency Notification Systems: Currently SchoolMessenger and ParentSquare. Newsletter Software: Currently SMORE AI-powered tools: For tasks like transcription (e.g., Otter.ai) and generating meeting summaries. Attention to Detail: Meticulous in preparing documents, managing schedules, and handling confidential information. Proactive & Resourceful: The ability to anticipate needs, solve problems independently, and work effectively under pressure. Conditions: Working Hours: This is a full-time salaried position. While the standard work schedule is during typical business hours, the nature of the role requires flexibility to attend evening and occasional weekend meetings.
