Manage administrative tasks including scheduling, billing, record keeping, and customer service under the Transportation Director's supervision.
High school diploma with 2 years of clerical/administrative experience, proficiency in office software, and a valid North Carolina driver's license with a good record.
Under general supervision, serves in an administrative capacity under the direction of the Transportation Director. Reviews and processes all paperwork involving employee status changes, purchasing and accounts payable and receivable. Prepares correspondence and reports, answers and screens phone calls, schedules appointments and meetings, initiates and responds to email, organizes and maintains files, and other clerical work as necessary. Responsible for receiving requests for service, scheduling of service requests into efficiently transported groups of riders and preparing daily trip logs for drivers. Maintain billing records for invoicing and record keeping purposes. Must be willing to assist with emergency operations and emergency evacuations. Reports to the Transportation Director.Develops and implements data entry files to handle fare revenue, invoicing to agencies, and trip documentation for NCDOT and Board reports. Handles routine requests for information or materials. Maintains adequate inventory of office supplies and materials. Prepares monthly billing invoices, insuring accuracy, and sent in timely manner. May supervise in absence of Transportation Director. Prepares daily schedules for vehicles and drivers. Receives individual requests from the general public and agency representatives over the telephone, fax and email. Schedules requests into efficient and effective routes. Prepares daily trip logs in an efficient manner. Maintains records of service requests and provides for billing purposes. Maintains records of service requests denied and reason for denial. Receives and accounts of general public fares collected by drivers. ADDITIONAL JOB FUNCTIONS Perform any related work as required which may include driving transit vehicle, or any other work as requested by the County Manager, Deputy County Manager, County Commissioner or Transportation Director. High School Diploma and 2 years of progressively responsible secretarial or clerical/administrative/office management experience; or any equivalent combination of training and experience which provides the required knowledge, skills and abilities. Skill in use of computer-driven word processing, database, spreadsheet and file maintenance programs. Valid North Carolina driver’s license with good driving record.
