Sales Operations Coordinator The Opportunity: Picarro is seeking a highly organized, detail-oriented, and energetic Sales Operations Coordinator to assist with Sales operations at our Santa Clara, CA headquarters. This person will be a part of the Sales Operations and Enablement team and report to the Commercial Operations Manager to support various functions contributing to effective sales. The role will involve working with multiple departments across the company, including global sales, legal, finance, logistics, marketing, and product management. Additionally, the Coordinator will help facilitate sales enablement efforts by ensuring sales teams have the tools, resources, and training they need to succeed. The ideal candidate will be flexible, take ownership of their responsibilities, and be an effective and reliable team member. This role offers growth opportunities and the potential to make a significant impact on the business. Responsibilities: Qualify and route incoming leads from the web, phone, and email to the appropriate salesperson. Add new prospects and contacts to the CRM database from web, phone, email inquiries, conferences, and sales team requests. Maintain CRM accuracy by merging contacts, updating information, and removing outdated entries. Work within the document management system to complete basic vendor information and documentation requests for the sales team. Proactively follow up on documentation to ensure the sales process continues smoothly. Assist with creating loan, lease, and conference shipment quotes as needed. Support activities across multiple time zones, prioritizing critical time-sensitive tasks. Track orders and installation cases on a shared platform. Draft and update process documents and sales support materials and keep the document repository/intranet up to date. Provide feedback and suggest improvements to existing processes and procedures. Work closely with the manager to handle miscellaneous sales support tasks and projects as needed. Required Experience: BA/BS degree and 3+ years of inside sales, sales enablement, contract management, or project management experience. Understanding of sales process: familiar with lead generation, sales forecasting, and pipeline review processes. Knowledge of the Order-to-Cash process is a plus. Experience collaborating with sales, legal, product management, accounting, logistics, and/or finance teams. Prior experience working with Customer Relationship Management (CRM) tools (e.g., SalesForce, NetSuite, Conga CLM, etc.). Software Proficiency: advanced skills in Microsoft Office suite and other data management, analysis, and reporting tools. Demonstrated ability to manage cross-functional projects.
