Prominent Family Office in Midtown Manhattan seeks an Executive Assistant supporting the Executive Directors and C level department heads. This is an in-office job in midtown Manhattan Position Summary Perform a wide range of administrative, and office support duties to facilitate the efficient operation of the Family Office. Essential Job Functions • General clerical duties including photocopying, fax, scanning, shredding, and sending mail out. • Answer Phones. • Assist with meeting setup - including room preparation, beverages and snacks. Not limited to presentations, preparing agenda, and other documents as needed for the team. • Assist on miscellaneous projects as they arise for the Family Office and the Family. • Run errands as required (bank, post office, and properties etc.) • Run to the bank daily if checks have been received. No checks should be left over the weekend • Backup for daily wires. • Assist with mail distribution. • Cross train with other employees for full coverage. • Obtain approvals and signatures to open new accounts. • Miscellaneous research projects for Family Office team members. • Prepare outgoing mail, USPS, UPS, Fedex, and messenger etc. • Print documents and find files for the team. • Prepare and organize the NYO bank statements and invoice files. • Filing of all invoices and statements for all family members. • Manage and monitor the NYO Document Location Report. Update manager quarterly. • Work with other team members to pull yearly bank statements and invoices Qualified candidates should have administrative experience in a family office, financial services, or law firm setting. Salary 90 to 115k DOE plus overtime eligible
