About Phoenix Health Phoenix Health is a specialized online mental health practice serving individuals and families during the perinatal period, including pregnancy, postpartum, infertility, and birth trauma. We provide evidence-based care and work with clients navigating emotionally intense and often urgent situations. Our administrative team plays a critical role in whether clients access care smoothly, or fall through the cracks. This is not a generic admin role. It is client-facing, emotionally demanding, and detail-heavy. This Role Is Not a Fit If You: • Have never worked in a mental health, therapy, psychiatry, OB-GYN, or fertility practice • Are uncomfortable discussing insurance benefits, deductibles, or out-of-pocket costs • Prefer scripted customer service over nuanced, human conversations • Are seeking a short-term or “filler” role rather than steady part-time work • Feel overwhelmed by emotionally charged situations or distressed clients The Role We are seeking a calm, emotionally steady, and highly organized Administrative Assistant to serve as the primary point of contact for Phoenix Health clients. You will support client communications, scheduling, intake workflows, and insurance coordination so that clinicians can focus on clinical care. You will regularly interact with individuals who are anxious, overwhelmed, or in crisis. Compassion matters, but so do boundaries, clarity, and follow-through. What This Job Actually Involves • Responding to phone, email, and website inquiries from prospective and current clients • Explaining therapy logistics and insurance benefits to clients who may be frustrated or distressed • Supporting clients on questions with intake paperwork • Conducting insurance verifications and clearly communicating deductibles, copays, and coverage limits • Holding steady, professional boundaries in emotionally sensitive conversations If any of the above sounds draining rather than manageable, this role is not a fit.
