Applications without a video submission will not be reviewed* Position Overview: The Intake Coordinator serves as the first point of contact for patients seeking psychiatric and mental health services. This fast-paced role requires exceptional organization, speed, accuracy, and the ability to multitask under pressure while maintaining a compassionate, professional demeanor. The Intake Coordinator is responsible for managing incoming inquiries, screening patients, scheduling appointments, verifying information, and ensuring a smooth transition into care for new patients. The Intake Coordinator will also be responsible for monitoring and responding to incoming messages from clients via our secure patient portal in a timely and professional manner. • This position requires a preliminary recorded video response to the questions provided below. Applications without a video submission will not be reviewed* Key Responsibilities: • Respond promptly to a high volume of inbound calls, emails, texts, and online inquiries. • Conduct initial patient screenings to determine appropriateness for services. • Achieve a comprehensive understanding of all service offerings to effectively offer and guide conversations towards services that may best fit the client’s needs even if it was not part of the initial inquiry. • This service understanding will be inclusive of confident review and explanation of services, ideal demographic knowledge, basic clinical applications, costs, and location limitations or lack thereof. • Function within the scope of general key performance indicators (KPIs) related to close rate of clients, otherwise referred to as conversion rates. • Accurately collect and enter patient demographic and clinical intake information into the EHR (electronic health records) and other corresponding systems. • Schedule new patient appointments and coordinate provider availability. • Maintain accurate and confidential client records in the EHR system. • Collaborate with clinical and administrative teams to support smooth transitions for clients throughout the intake process. • Follow up on incomplete intakes and support clients in completing required forms or documentation. • Support front office tasks as needed, including rescheduling, cancellations, and general inquiries. • Additional administrative tasks as assigned such as clinical note preparation. • Continuous review of client status to determine criteria for discharge, and then following internal process for discharging of a client. Required Qualifications: • High school diploma or equivalent required; associate’s or bachelor’s degree in psychology, social work, sales, business development, or related field is preferred. • 2+ years of experience in customer service setting. • Strong interpersonal and communication skills with a compassionate and professional demeanor. • Ability to manage multiple priorities and remain organized in a fast-paced environment. • Proficiency with electronic health records (EHR) systems and online patient portals. • Strong attention to detail, discretion, and a commitment to client confidentiality. • Must be eligible for PA State Police Clearance, PA Child Abuse History Clearance, FBI Clearance, Arrest / Conviction Report and Certification Form, and ACT 168 Forms. Preferred Qualifications: • Familiarity with mental health terminology and a basic understanding of therapeutic services. • Experience within a mental health or clinical setting. • Sales experience, background in sales marketing or patient acquisition marketing • This position requires a preliminary recorded video response to the questions provided below.
