What You Will Achieve The Pfizer US Specialty Care Gastroenterology Sales Team Organizational Coordinator will coordinate all administrative responsibilities in support of the Inflammation and Immunology Gastroenterology National Sales Team through direction from the Vice President Sales Lead and a team consisting of 3 Regional Business Directors, 24 Area Business managers, and approximately 205 Specialty Care field colleagues. The Regional Sales Coordinator will also manage progress against high-interest priority projects for the team. The role requires high proficiency and experience in project management and individual accountability for leading projects to completion while adhering to pre-specified timelines and budgets. Collaboration cross-functionally with Specialty Business Stakeholders and coordinators across HQ and US Biopharma Businesses will also be needed. In addition, the Gastroenterology Regional Coordinator will ensure administrative support through the coordination of meetings (off-site and virtual), generating and maintaining reports, calendar management, and coordination, while executing with precision and promptness. This position will require frequent and enhanced communication ability, attention to detail, proactive planning, problem solving, and self-direction along with the ability to identify opportunities and solve issues impacting overall efficiency and operational effectiveness. Collaboration with the CEP Coordinator, Operations, and other Regional Sales Coordinators will be necessary to support various initiatives across our teams. Occasional cross coverage/support with other teams may be required based on business priorities and needs. How You Will Achieve It Provide strategic and administrative support to the Inflammation and Immunology Gastroenterology Leadership Team in the form of coordination, collaboration, communication, and ownership for a variety of high-level based initiatives. Planning and support for internal LT meetings, cross functional meetings, and customer meetings which may include development/distribution of meeting objectives, agendas, and logistical communications. Managing and coordinating internal stakeholder engagement including culture building activities. Coordination of customer/account visits, conferences, and symposium attendance when applicable MS Outlook Calendar Management and coordination travel arrangements for RBDs and above. MS Teams and PowerPoint proficiency required to support the development of organizational communications and executive presentations. Develop and manage key project trackers ensuring accountability and providing updates and closing on actions items. Assist LT/Operations with information requests and data compilation. Provide ad-hoc analytics support as needed to support business decisions where applicable. Coordinate all aspects of sales engagement for RBDs and collective meetings including POA’s, planning meetings, general meetings, team building activities, external stakeholder meetings, and sales team engagement. This includes venue recommendations & selection, AV and catering needs, travel, and coordination support (in partnership with SC Enablement Team and Pfizer Meetings Team). Management of key enabling systems supporting Gastroenterology Sales Teams. Report processing including Travel and Expense, requisitions, and POs for the Regional Business Directors. Manage expenses including Concur input, conduct initial quality check of Concur submissions, and audit for compliance PTE Policy via first review. Partner with LT, Operations, and Finance to manage budgets and track appropriate reporting. Partner with PX on production of staffing reports and updates to organizational charts. Manages communication distribution lists through Outlook and/or Teams. Updates and maintains files/databases accordingly. Manage systems coordination for the RBDs and collective team. Included are Pfizer Aligns, ePA3, MS Teams, Ariba, Workday, MS Outlook, MS Excel, vendor credentialing, field rosters, and distribution lists. Assist with onboarding of new hires. Included scheduling interviews, assisting with internal transfers, updating OM, new external onboarding request for LAN ID and PFE email accounts, laptop and iPad requestsand shipment. Assist with offboarding of voluntary/and involuntary terminations. Assist with the management and execution of brand and national sales team communications as needed. Qualifications Must-Have Bachelor’s Degree preferred; HS Diploma required 5+ years of related administrative business experience Robust performance history of meeting personal and team goals Proven experience implementing projects and process improvements Possess a positive, collaborative, and continuous improvement mindset Takes initiative and works pro-actively Strong business acumen combined with demonstrated flexibility, adaptability and learning agility Excellent written and verbal communication skills with an extreme attention to detail Ability to navigate internal organization/processes and build productive relationships across the organization Possesses high emotional intelligence, sound decision making skills, solid judgment, and overall professional demeanor. Strong collaborator with proven ability to represent the Leadership Team manage initiatives, relationships, and partnerships effectively. Nice-to-Have Strong knowledge of Pfizer systems and applications, including Ariba, Pfizer Travel & Expenses, Org Chart, SharePoint, Yammer, Workday, Bravo, Growth Universe, Fuse. Experience using applications, such as Concur, Webex, MS Teams, PowerPoint, Excel, Ariba.
