Administrative Assistant Role Remote – Psychiatric Practice | Full Time | US ONLY Must live in the US and be a citizen. Must be willing to work Pacific time hours of 9:00 am to 5:00 pm. We are seeking a compassionate, detail-oriented, and tech-savvy Administrative Assistant to join our Patient Services Team. This role is ideal for someone who takes pride in providing exceptional patient experiences and thrives in a fast-paced, mission-driven environment. You’ll play a key role in ensuring our patients receive white-glove support — from scheduling and care coordination to communication and follow-up. Key Responsibilities ● Provide white-glove patient support, ensuring each interaction is handled with care, professionalism, and empathy. ● Manage patient scheduling and coordinate appointments across providers and care teams. ● Handle patient-facing communications via phone, SMS, and email with clarity and compassion. ● Assist patients with general questions and guide them through care processes and next steps. ● Coordinate with pharmacies to ensure patients can seamlessly pick up prescriptions. ● Conduct insurance verification checks and support pre-authorization processes as needed. ● Provide administrative support to providers, including managing follow-up communications and assisting with patient documentation. ● Coordinate with doctors’ offices and external partners to ensure continuity of care. ● Manage document requests and maintain accurate patient records and files. ● Identify opportunities to improve workflows and patient service processes, sharing creative ideas for improvement. Must Have Qualifications ● 2+ years of administrative or patient services experience (healthcare or mental health setting preferred). ● Exceptional communication skills, both written and verbal. ● Personable, compassionate, and patient-centered approach to service. ● Strong technical aptitude — able to learn and master new tools and software quickly. ● Self-starter who can work independently and make sound decisions with minimal supervision. ● Adaptable and comfortable working in a fast-paced, evolving environment. ● Confident handling of complex or sensitive conversations with empathy and professionalism. ● Passionate about mental health and supporting patient well-being. ● High energy, proactive, and comfortable “rolling up your sleeves” to get things done. ● Experience working in a remote setting. ● Willingness to work one weekend day per week as part of the regular schedule. Additional Information ● Starting pay $25.00-27.00/hour DOE. 1099 contractor role during probationary period. ● 30-60 day probationary period. ● We are looking for someone full-time. 9:00-5:00 pm Pacific. ● Full benefits are available to those who need them. ● Competitive PTO & paid holidays. ● Laptop and monitor will be supplied when this role converts to a W2 employee.
