Position Overview: We are actively seeking a knowledgeable and experienced Bilingual Front Desk Receptionist / Billing Specialist to become a key part of our team. This essential role is crucial for maintaining the clinic's operational excellence and creating a warm, welcoming atmosphere for our patients. Responsibilities include managing administrative tasks, facilitating patient communications, scheduling appointments, verifying insurance coverage, managing billing processes, patient information, and insurance claims with precision and professionalism. The ideal candidate will possess a combination of deep empathy, exceptional organizational and communication skills, punctuality, and a proactive approach to patient care, and a professional demeanor reflected in their business attire. Key Responsibilities: • Efficiently open the clinic each morning at 7-30 am, ensuring that the facility is fully prepared and welcoming for the day ahead. • Proactively verify the day's appointments, reaching out to anticipated patients to confirm their visits. • Diligently manage the appointment schedule by making calls to arrange bookings for any slots that become available due to rescheduling, optimizing clinic efficiency and patient access. • Warmly greet and assist patients both in person and over the phone, efficiently manage scheduling and check-ins. • Skillfully handle insurance verifications, pre-authorizations, and patient account management. • Accurately post charges and ensure patient information is complete and verified. • Prepare and submit billing claims to insurance companies. • Process ERA and manual payments from both insurance entities and patients. • Conduct follow-up on patient and insurance account receivables. • Investigate and appeal denied claims effectively. • Work closely with medical coders to guarantee accurate coding of procedures and diagnoses. • Stay informed on changes in medical billing regulations and coding guidelines. • Deliver exceptional customer service by addressing patient billing inquiries thoroughly. • Ensure medical records and documentation are meticulously maintained and current. • Collaborate effectively with healthcare professionals and external partners, presenting a professional image. Qualifications: • Proven degree and/or background in a medical office or healthcare setting, with a strong focus on medical front desk operations and insurance processes. • Experience in insurance coverage verification /pre-authorization. • Proficient in medical billing and coding procedures • Strong knowledge of medical terminology, and ICD-10 coding systems • Familiarity with medical office software systems for billing and collections • Excellent attention to detail and accuracy in coding procedures • Exceptional written and verbal communication skills. • Strong analytical and problem-solving skills • Effective communication skills to interact with insurance companies, patients, and healthcare providers • Independence in managing responsibilities with minimal supervision and collaborative attitude when working with team members. • Proficiency in Microsoft Office applications, including Excel and Word. • Experience with insurance platforms such as Availity, UHC Link, Cigna for research and completing insurance appeals. • Excellent interpersonal abilities and teamwork skills. • At least 2 years of experience in medical billing and as a receptionist. • Bilingual in English and Spanish, with outstanding verbal and written communication skills. • Demonstrated empathy towards patients, a commitment to confidentiality, and ethical practice standards, with an expectation to adhere to a business attire dress code. • Detail-oriented, reliable, punctual, and capable of thriving in a diverse, fast-paced environment.
