Role Summary The Portfolio Software & Vendor Cost Optimization Analyst is responsible for analyzing, optimizing, and overseeing all software and vendor spend across the Partner One portfolio of companies. This role supports cost-reduction initiatives by reviewing vendor lists, identifying savings opportunities, analyzing pricing structures, renegotiating contracts, and ensuring each portfolio company is operating with accurate, up-to-date vendor information. The Analyst will work closely with Finance, IT, and Legal teams across all companies to drive measurable savings and improve vendor governance and efficiency. This position reports directly to the CEO and plays a key role in driving financial discipline and operational efficiency across the organization. Key ResponsibilitiesVendor Spend Analysis & Optimization Ensure each company’s software and vendor lists are accurate, complete, and consistently maintained. Build and maintain a centralized vendor tracking database or dashboard to monitor spend, renewal dates, performance, and ownership. Maintain a portfolio-wide view of contracts, pricing trends, and spending patterns to support CEO- and executive-level decision-making. Review vendor lists across all Partner One portfolio companies to identify redundant, high-cost, or underutilized software and service vendors. Conduct cost optimization assessments and develop analyses that identify where savings can be achieved. Evaluate usage vs. spend to flag inefficiencies, over-licensing, or unnecessary renewals. Identify opportunities for vendor and software consolidation across the portfolio. Cost Reduction & Negotiation Support Prepare cost comparisons, and negotiation strategies for renewals or new vendor evaluations. Work with portfolio company leaders to renegotiate contracts, reduce pricing, or adjust license tiers based on usage. Research and evaluate alternative vendors with competitive pricing and greater value. Cross-Company Collaboration Work closely with IT, Finance, and Legal teams across all portfolio companies to align on vendor strategy, standards, and cost-saving initiatives. Support due diligence and vendor analysis for new acquisitions and integration activities. Present findings, insights, and recommendations to the CEO and senior leadership team, including projected savings and risk considerations. Qualifications 2–5+ years of experience in vendor management and cost optimization. Strong analytical skills with experience reviewing vendor, financial, and licensing data. Understanding of software licensing models (SaaS, user-based, consumption-based, enterprise agreements). Experience supporting vendor negotiations and cost-reduction initiatives. High proficiency in Excel/Google Sheets, including ability to build models and dashboards. Strong communication skills and ability to present insights to executive leadership. Ability to work across multiple companies and manage several concurrent projects.
