The Role Parallel Bio is hiring a Head of Operations, US to run operations out of San Francisco and support a growing multi-site company. This is a high-autonomy role for someone who thrives in ambiguity, moves fast, and treats every operational gap as a problem to solve. You will provide coverage and support spanning real estate/facilities operations, finance operations, and talent/people operations, and scientific operations. You will also have the opportunity to shape company culture and build something meaningful. Responsibilities Facilities and Real Estate: Manage day-to-day facility operations, including building access, security systems, cleaning services, and vendor relationships. Own site permitting processes and coordinate with local authorities to ensure compliance with biosafety and occupational health requirements. Support lease negotiations and new site buildouts as the company expands. Finance Operations Coordination: Support recurring finance activities including expense tracking, PO issuance and tracking, vendor onboarding/offboarding and payments. Serve as a liaison between site teams and Finance on budget and procurement matters. People Operations Support: Partner with the People team on onboarding, office setup for new hires, and coordination of training programs (BSO, CHO, site-specific). Setup onboarding playbook to ensure completion of mandatory checks and processes prior to start dates. Help create an environment where new team members hit the ground running. State Compliance: Manage multi-state employer compliance using Abstract Ops, including state registrations, annual filings, and regulatory updates. Ensure labor law poster compliance across all sites and maintain current postings as regulations change. Maintain government portal logins and credentials, including SAM.gov registration and state EDD accounts. Scientific Operations Support: Partner with Science and Automation teams on lab space planning, equipment installation, and supply chain logistics. Coordinate procurement, track shipments, and ensure scientists and software engineering have what they need. Legal and Administrative Coordination: Route contracts for review, coordinate NDA workflows, and support trademark and IP administration. Maintain organized records and ensure nothing falls through the cracks. Vendor and Partner Management: In coordination with Finance, support managing relationships with external partners, service providers, and collaborators. Negotiate contracts, track deliverables, and ensure external providers meet expectations. Culture and Team Support: Own the small things that make a workplace feel like a team. Coordinate snacks, coffee, team events, and the day-to-day details that keep people happy and productive. Support colleagues across functions when they need an extra hand. Process Improvement: Identify inefficiencies and fix them. Streamline workflows, automate repetitive tasks, and build lightweight systems that scale. You have a bias toward action and a minimum viable product mindset. You Are a Good Fit If You Have On-site Presence: This role requires being in the San Francisco office full-time, five days a week with occasional travel. 4+ years of Operations Experience: You have a track record in operations management at a startup or high-growth company. You have seen the chaos of early-stage environments and know how to bring order without slowing things down. You have managed facilities, coordinated across functions, and built processes from scratch. Technical Fluency: You are comfortable with Python and SQL for data wrangling and automation, and proficient in Google Sheets and Excel for analysis and reporting. You can build tools that save time and reduce manual work. SaaS Savvy: You have experience managing cloud-based tools across functions (HRIS, Expense and Bill Pay, and similar platforms supporting finance, people, and operations). You can configure workflows, set up custom fields, manage user profiles and permissions, troubleshoot issues, and connect systems to streamline processes. You treat these platforms as tools to be mastered, not just used. Adaptability: You juggle many projects, wear many hats, and pivot quickly when priorities shift. Ambiguity energizes you rather than paralyzes you. Problem Solver: You are resourceful and persistent. When something is broken, you fix it. When a process does not exist, you build it. You do not wait for permission or a manual. Science-Adjacent Mindset: You do not need to be a scientist, but you understand lab environments and can partner effectively with research teams.
