Job Description The Operations Associate - Core Service will be joining a fast-growing Registered Investment Advisor firm with a culture of entrepreneurship, education, and collaboration. The Associate will be dedicated to quality control via a variety of performance and project management responsibilities within our firm. As a member of Operations - Core Service, the Associate will be responsible for owning the system administration of our Trust and Family Office Services systems, including documentation and development of processes to assist in the onboarding of our clients. This person will work closely with our financial advisors, vendors, and custodian support teams as well as provide project assistance to our Chief Operations Officer, Chief Financial Officer, and Chief Compliance Officer. This position is based in our Dallas, TX office. Parallel is currently operating in a three-day, in-office hybrid work structure. Responsibilities Systems Administration • Execute performance reconciliations of Fidelity, Schwab, and custodial data. • Act as a trusted internal resource and subject matter expert for advisors and cross-functional teams, providing guidance on Parallel’s trust and family office services. Partner with stakeholders to introduce new system functionality and drive user adoption. • Participate in firmwide projects to bring efficiency and improved workflows within the team. • Document current workflows and maintain internal documentation on evolving processes. Reporting • Create, reconcile, and input alternative investments transactions and valuations by reviewing investor statements and reconciling capital account activity. • Produce quarterly performance reports and upload to the client portal. • Collaborate with leadership and cross-functional partners to provide business intelligence metrics. • Work with compliance to generate firmwide reporting for regulatory needs. • Create ad-hoc reports per advisor requests. Billing • Generate recurring quarter end reports to review account data and review Black Diamond setup for data integrity to prepare for firmwide billing. • Work with the Finance team to help process the firm’s quarterly billing. Qualifications • Very strong attention to detail and problem solver. • Savvy with technology, especially as it pertains to data entry and systems maintenance. • Deadline oriented and highly organized. • Ability to work effectively and independently in a fast-paced environment. • Financial software experience a plus (ex.: BlackDiamond, Orion, Tamarac, Addepar, or something similar) • Trust and Family office software experience (BlackDiamond, InnoTrust, etc.) • Microsoft Excel experience required.
