Position Overview We're seeking an Operations Manager to serve as the operational backbone of one of Paragon's portfolio agencies. This role bridges our agency work and venture studio operations, ensuring seamless project execution across both client engagements and internal ventures. You'll be the key orchestrator between creative teams, clients, and internal stakeholders, while also building and optimizing the systems that power our growth. Key Responsibilities Project Management & Coordination • Manage end-to-end project delivery for Paragon Digital agency clients and Paragon Ventures portfolio companies • Coordinate cross-functional teams including designers, developers, strategists, and external partners • Develop and maintain project timelines, milestones, and deliverable schedules • Facilitate project kickoffs, status meetings, and retrospectives • Identify project risks and proactively implement mitigation strategies • Ensure projects are delivered on time, within scope, and to quality standards Client & Stakeholder Management • Act as the primary operational point of contact for agency clients • Manage client expectations and communications throughout project lifecycles • Coordinate with venture partners and founders on project requirements and timelines • Prepare status reports, presentations, and project documentation • Foster strong relationships that drive client satisfaction and retention Creative Team Coordination • Work closely with design, development, and strategy teams to allocate resources effectively • Balance team workloads across multiple concurrent projects • Facilitate collaboration between internal teams and external stakeholders • Support creative teams by removing blockers and streamlining workflows • Ensure clear communication of project requirements and feedback Internal Operations & Tooling • Design, implement, and optimize internal processes and workflows • Evaluate, select, and implement project management and collaboration tools • Build and maintain operational dashboards and reporting systems • Create templates, documentation, and best practices for project delivery • Identify opportunities for automation and efficiency improvements • Manage internal knowledge base and resource libraries Business Operations Support • Support resource planning and capacity management across the organization • Track project profitability and operational metrics • Contribute to new business pitches with operational insights and planning • Assist with onboarding new clients and team members • Support Paragon Ventures operations including portfolio company coordination Qualifications Required • 2-4+ years of experience in operations, project management, or program management • Proven track record managing multiple projects simultaneously in a fast-paced environment • Experience working with creative teams (design, development, marketing) • Strong proficiency with project management tools (Asana, Monday.com, ClickUp, Notion, or similar) • Excellent communication skills with ability to interface with clients and internal teams • Strong organizational skills and attention to detail • Problem-solving mindset with ability to adapt to changing priorities • Experience building or improving operational processes and systems Preferred • Experience in a design agency, consultancy, or venture studio environment • Familiarity with startup operations and venture building • Knowledge of design and development workflows • Experience with business intelligence or analytics tools • Technical aptitude for evaluating and implementing new tools • PMP, Agile, or Scrum certification • Background in startup operations or early-stage company building What Makes You Successful • Organized Orchestrator: You thrive on bringing order to complexity and keeping multiple projects moving forward simultaneously • Proactive Problem Solver: You anticipate issues before they arise and take initiative to address them • Clear Communicator: You can distill complex information and facilitate alignment across diverse stakeholders • Systems Thinker: You see opportunities to create processes and tools that scale beyond individual projects • Adaptable: You're comfortable with ambiguity and can pivot quickly in a dynamic startup environment • Collaborative: You work effectively across teams and build strong relationships with clients and colleagues • Detail-Oriented: Nothing falls through the cracks on your watch • Tech-Savvy: You're comfortable learning new tools and can assess what will work best for the team What We Offer • Opportunity to shape operations at a growing venture studio and design consultancy • Work with diverse clients and ventures across multiple industries • Collaborative, creative work environment • Exposure to venture building and startup ecosystems • Remote work flexibility • Equity in internal ventures • Professional development opportunities
