Job Title: Medical Front Desk Coordinator Position Summary The Medical Front Desk Coordinator is the first point of contact for patients and plays a key role in ensuring an efficient and welcoming clinic experience. This position is responsible for patient reception, appointment scheduling, insurance verification, and coordinating front-office functions, including obtaining authorizations for medical procedures such as injections. Key Responsibilities • Greet patients and visitors in a warm, professional manner. • Check patients in and out while verifying demographic and insurance information. • Answer phone calls, respond to inquiries, and route messages appropriately. • Provide patients with information about office policies and procedures. • Schedule, confirm, and modify patient appointments across multiple providers. • Coordinate follow-up visits, procedures, and specialty referrals. • Schedule patients for injections and ensure they are properly prepared for their appointment. • Obtain prior authorizations or approvals for injections and other procedures by contacting insurance companies or using online portals. • Notify patients of appointment requirements, preparation instructions, or any changes. • Review claims for completeness and correct coding issues when necessary. Administrative Duties • Maintain accurate patient records in the EMR system. • Process medical forms, records requests, and documentation. • Keep the front desk and waiting area organized and supplied. Communication & Team Support • Serve as a liaison between patients, providers, and clinical staff. • Communicate authorization status, scheduling updates, and patient concerns to the care team. • Assist in training new front-office staff as needed. • Manage all patient information in compliance with HIPAA guidelines. Qualifications • High school diploma or equivalent required (associate degree preferred). • Prior experience in a medical office or healthcare setting strongly preferred. • Knowledge of medical terminology, insurance authorization processes, and EMR systems. • Strong communication, multitasking, and organizational skills. • Professional, empathetic, and patient-centered demeanor. Physical Requirements • Ability to remain seated or standing for extended periods. • Ability to lift up to 20 lbs (files, supplies, etc.) occasionally. Work Environment • Fast-paced clinic or medical office setting. • Frequent interaction with patients, providers, and administrative staff.
