Sales & Marketing Coordinator (*Portland) Full Time Position Summary The Sales & Marketing Coordinator plays a key role in supporting the sales team and executing marketing initiatives that bring Pahlisch Homes’ communities to life. This position bridges the gap between sales operations and marketing strategy, ensuring that model homes, community launches, and promotional events are executed seamlessly and to brand standard. The coordinator works cross-functionally with Sales, Construction, Design, and external vendors to deliver an exceptional homebuyer experience from first impression through closing. Key Responsibilities Sales Support • Partner with Sales Managers and onsite agents to ensure communities are equipped with up-to-date sales collateral and promotional materials. • Coordinate signage (model home signage, spec home signage, A-boards, flags, etc.) and ensure installation is consistent and professional. • Assist in setting up and merchandising model homes and sales centers, including staging, marketing collateral, and branded displays. • Support sales promotions (e.g., VIP programs, seasonal campaigns) and execute at the community level. Marketing Execution • Manage the creation and distribution of marketing assets such as flyers, brochures, promotional materials, etc. • Collaborate with vendors for community photography, Matterport tours, videography, signage, staging, spec maintenance, and community events. • Execute grand openings, trade appreciation celebrations, and community lifestyle events by coordinating logistics, event supplies, and on-site presence. • Maintain brand standards across all marketing touchpoints, ensuring messaging aligns with company values and community vision. • Conduct regular tours of communities and model homes to ensure overall appearance, signage, merchandising, and marketing materials meet brand standards and are well-maintained. Cross-Functional Coordination • Partner with Purchasing, Sales, and Design to confirm specifications, finishes, and upgrade options represented in model homes and marketing collateral. • Order all new homeowner gifts for homes closing. • Collaborate with Construction and Sales to track and manage all spec home maintenance. • Collaborate with Operations and CAD to ensure all materials are ready to launch a new phase or community. Administrative & Reporting • Track marketing budgets for events, signage, and collateral by community. • Maintain community information on internal platforms (company website, marketing collateral, ClickUp, etc.) with accuracy and timeliness. • Maintain organized storage areas for marketing swag, event supplies, model home supplies, and signage assets. • Process timely payments for vendors by coding and approving invoices. Requirements • Bachelor’s degree in Marketing, Communications, Business, or related field experience (preferred). • 1–3 years of experience in sales coordination, marketing, or real estate/homebuilding industry (preferred). • Proficient in Office 365 • Experience in Photoshop, InDesign, Adobe Acrobat, and project management software preferred • Excellent attention to detail • Excellent interpersonal skills, writing, and communication skills • A strong appreciation of the importance of completing tasks on deadline • Creative, innovative and willing to contribute ideas and professional opinion • Ability to work in a team environment • Strong critical-thinking skills with a positive attitude and the ability to adapt in a rapidly changing, fast-paced environment • Must be able to lift and carry up to 30–40 lbs for event setup, signage installation, and supply management. • Flexibility to work evenings, weekends, and outside normal business hours during community events, model openings, and promotions. Outcomes = The 3-5 measurable results from the job responsibilities. • Launch Readiness: Complete all marketing deliverables (signage installed, model staged, collateral delivered) at least 48 hours prior to launch. • Event Attendance: Achieve at least 75% of projected attendance for model openings, community launches, and promotional events (based on RSVP lists, marketing reach, or prior benchmarks) • Project Deadlines: Meets 90% of deadlines established in ClickUp.com • Compliance Rate: Ensure 95–100% of checklist items (e.g., signage, flags, A-boards, flyers, cleanliness, model home appearance) are in compliance with brand standards during bi-weekly tours. Discrepancies should be reported within 48 hours of discovery. Role is eligible for a 10% annual bonus Please note: Pahlisch Homes Headquarters will be closed December 25, 2025 - Jan 2, 2026. • Role requires frequent travel throughout the Portland Metro area
