Overview We are seeking an experienced and highly organized Office Manager / Administrator to oversee daily operations and ensure the smooth functioning of our office environment. The ideal candidate will possess strong administrative, supervisory, and communication skills, with a background in office management, human resources, and bookkeeping. This role offers an opportunity to lead a dynamic team while managing various administrative functions in a professional setting. The Office Manager / Administrator will be responsible for coordinating office activities, supporting staff, and maintaining efficient workflows to support organizational goals. Responsibilities • Manage daily office operations, including front desk duties and multi-line phone systems • Oversee scheduling management for staff and appointments, ensuring calendar accuracy • Supervise administrative staff and coordinate training & development initiatives • Handle vendor management, including procurement and contract negotiations • Maintain bookkeeping records using QuickBooks and perform basic accounting functions • Manage payroll processing and human resources functions such as employee onboarding and file management • Plan and organize events, meetings, and company functions • Oversee budgeting processes and monitor office expenses to ensure fiscal responsibility • Ensure proper filing systems are maintained for easy document retrieval • Support medical office management tasks if applicable, including compliance with healthcare regulations • Uphold excellent phone etiquette and communication skills when interacting with clients, vendors, and staff • Develop policies for office procedures to improve efficiency and productivity Experience • Proven experience in office management or administrative roles within a professional environment • Supervising experience with team management responsibilities • Proficiency with QuickBooks or similar bookkeeping software • Strong schedule management and calendar organization skills • Experience in vendor management, payroll processing, and budgeting processes • Background in human resources or medical office management is a plus • Excellent organizational skills with attention to detail in clerical tasks such as filing and record keeping • Demonstrated ability to handle front desk responsibilities effectively, including managing multi-line phone systems and providing exceptional phone etiquette • Prior experience in event planning, training & development initiatives is desirable • Effective communication skills essential for team coordination and client interactions This position offers an engaging work environment where organizational excellence is valued.
