About Us: Pacific West Real Estate is a family run real estate business with a modest, stable portfolio of commercial properties and a handful of residential properties. Our commercial properties experience minimal tenant turnover and consist of mostly light industrial businesses. Our small team of five is close-knit and places a high value on relationships - with each other as well as with our tenants and vendors. While some of our team works remotely, the core team typically works out of our Auburn office. With no third party management we benefit from less rigor around reporting and focus on a blend of routine maintenance, improvement projects and tenant requests. About You: Figuring out how things work intrigues you and making sense of chaos and rolling with change come naturally to you. Managing up, that is, telling leadership what you need and why, is something you’re very comfortable with. A balance between new and different projects and a predictable maintenance schedule sounds like a great sweet spot to you. You prefer to jump in and implement solutions and enjoy the variety and satisfaction of lending a hand on minor repairs when needed, not one to shy from a DIY project. You have worked in property or facilities management before. If your experience is primarily as a Leasing Associate or Real Estate agent then this won’t be the best fit for you. However, experience as a Residential Property Manager, Community Manager, Construction Project Manager, Facilities Manager, etc could translate well into this role. You are detail oriented and strive to get things done well as a matter of excellent customer service and pride in your quality of work. You will need to work well independently and be self-motivated managing your own workload, schedule, and deliverables. You understand the responsiveness required in property management. About the Job: The Assistant Property Manager will be responsible for tenant, construction and vendor management for all of our properties and tenants. This includes our three commercial properties with 50+ tenants and our four residential properties located in WA and OR. You will work closely with our Facilities Manager to ensure all properties are well maintained, compliant and secure. This will often include helping with maintenance calls and other tasks such as placing updated labels on meters. Working in tandem with the team’s Executive Assistant, you will coordinate projects, tenant communication and ensure efficient systems are in place. While it will take time to build trust and find a rhythm with the company owner, there is an opportunity for advancement into a full Property Manager with additional responsibilities in long term planning and asset management, budgeting and leasing. Key Competencies • Customer service focused, comfortable interacting meeting new people • Excellent communication skills (oral and written, in English) • Comfortable taking initiative and being self motivated • Ability to juggle multiple priorities and projects • Flexibility and comfortable managing an on-call schedule • Attention to detail Education • High school diploma/equivalent required • Bachelor’s Degree or equivalent experience preferred Experience • 1 year of property management experience required, 3+ years preferred • 2 years of exposure to commercial real estate or construction management preferred Qualifications • Experience with Asana, Smartsheet, ClickUp, Trello or similar tool is required • Able to read and understand leases and contracts • Proficiency in Microsoft Office Suite • Able to lift 50 pounds • Able to recognize high quality maintenance work • Valid driver’s license with current auto insurance and reliable vehicle • Able to work in an industrial environment and navigate construction sites • Experience with AppFolio or Yardi is a plus Responsibilities Business Operations • Manage work load and task flow in designated software • Facilitate invoice validation, reconciliation and approval • Primary touchpoint for tenant requests, vendors, owner/asset manager and facilities manager • Ensure full scope of projects and efforts is captured and delegated • Track time lines and due dates, holding the team accountable for them • Identify any conflicts, risks or impact of delays • Facilitate communication between all critical parties • Support financial reconciliation efforts • Maintain appropriate SOPs for ongoing operations creating new as needed • Manage data to report on maintenance trends, tenant turnover etc Property Management • Tenant management • Coordinate move-in and move-out process • Rent collection and dealing with delinquencies • Resolving tenant complaints • Respond to security notifications and concerns • Issue tenant notices, maintenance of all records and files • Vendor management • Oversee vendor relations, insurance requirements and work quality • Ensure repairs are performed on schedule (ie fire sprinklers, roof warranties, backflow, hazard materials and maintenance projects) • Facilities management • Perform maintenance assessments, and coordinate maintenance work • Coordinate with the Facilities Manager to aid in time and budget management within maintenance and project work. • Work alongside the Facilities Manager as needed to assist with things like trash pick up, spreading snow melt, replacing a light bulb, etc providing a second set of hands. • Support the acquiring of materials and supplies as needed • Compliance + risk management • Prepare for insurance audits and site inspections • Maintain fire safety documentation, winterization planning, and emergency protocols • Monitor property risks including noise alarms, hazmat, fire-related issues, security gates, and water alarms • Maintain master key systems and update fire department lockbox access • Monitor signage compliance, towing contracts and property upkeep • Special projects • Develop 1-year construction/maintenance schedules and property improvement plans • Support asset management strategies and cost recovery projects • Research and implement best practices for property management efficiency Office Administration • Maintain online file organization • Utilization of online business tools (email, Dropbox etc) • Help with special projects • Administrative support, filing, answering & directing phone calls • Maintain working knowledge of all business tools Compensation: This is an independent contractor role. We expect to average approximately 30 hours per week and are offering up to $45/hr depending on experience. Availability: We are a local Seattle area company with offices in Auburn. This team member needs to belocally based within a 15 mile radius of Auburn, WA. Our typical office hours are 8-5, though since the Property Manager will be responding to all tenant inquiries, hours will be somewhat flexible. Much of your time will be spent working out of our office on property in Auburn, WA, we are open to occasional remote hours.
